Core Responsibilities

Primary Functions

  • Plan, schedule, and manage the complete production workflow for a diverse range of print projects, including brochures, direct mail, catalogs, packaging, and in-store signage.
  • Act as the primary liaison between internal departments (Marketing, Creative, Sales) and external print suppliers to ensure project requirements, deadlines, and quality standards are clearly communicated and met.
  • Source, vet, and maintain strong relationships with a network of qualified print vendors, conducting regular performance reviews and ensuring a competitive and capable supplier base.
  • Prepare and distribute detailed requests for quotes (RFQs) to multiple vendors, meticulously analyzing bids to determine the best value based on price, quality, and delivery capabilities.
  • Develop comprehensive print specifications for each project, detailing paper stock, weight, color profiles (CMYK/PMS), finishing techniques (coatings, die-cuts, binding), and packing instructions.
  • Create, manage, and meticulously track project budgets, providing accurate cost estimates, processing purchase orders, and reconciling invoices to ensure financial accountability.
  • Oversee the entire proofing process, including reviewing digital soft proofs, color-accurate hard proofs, and final bluelines for accuracy in content, color, and layout before mass production.
  • Conduct on-site press checks at vendor facilities to approve final production runs, ensuring color accuracy, registration, and overall print quality meet brand standards.
  • Advise internal teams on the most effective and cost-efficient print production methods, materials, and formats to achieve their desired outcomes.
  • Proactively identify and troubleshoot potential production issues, collaborating with vendors to resolve problems related to file prep, color management, or finishing.
  • Manage the logistics of printed materials, coordinating shipping, distribution, and delivery to multiple locations, warehouses, or mailing houses.
  • Maintain a well-organized library of project documentation, including final files, approved proofs, production specifications, and vendor communications for future reference and re-orders.
  • Stay current with emerging trends, technologies, and innovations in the printing industry to recommend process improvements and new opportunities.
  • Ensure all printed materials adhere to brand guidelines, maintaining visual consistency and integrity across all campaigns and assets.
  • Manage inventory levels of frequently used printed collateral, forecasting needs and coordinating reprints to avoid stockouts.
  • Negotiate favorable pricing, payment terms, and service level agreements with print suppliers to drive cost savings and efficiency for the organization.
  • Review and approve pre-press files submitted by designers, ensuring they are technically sound and properly prepared for the intended printing process.
  • Develop and optimize production timelines and workflows, utilizing project management tools to track progress and communicate status updates to all stakeholders.

  • Support the execution and postal logistics of complex direct mail campaigns, ensuring compliance with USPS regulations and optimizing for postage discounts.
  • Assist in developing the organization's sustainability initiatives related to print by sourcing eco-friendly paper stocks and responsible print partners.
  • Collaborate with marketing and data teams to manage variable data printing (VDP) projects for personalized marketing campaigns.
  • Participate in creative brainstorming sessions to provide early-stage input on the feasibility and cost implications of new design concepts.

Required Skills & Competencies

Hard Skills (Technical)

  • Expert Print Production Knowledge: Deep understanding of offset, digital, large-format, and web printing processes, including their respective strengths and limitations.
  • Pre-press & File Preparation: Proficiency in checking and preparing files for print; strong knowledge of color theory (CMYK, RGB, Spot Colors), resolution, and file formats.
  • Adobe Creative Suite: High proficiency in Adobe Acrobat Pro, with working knowledge of InDesign and Illustrator for reviewing and making minor edits to artwork.
  • Cost Estimation & Budget Management: Proven ability to accurately estimate project costs, analyze quotes, and manage budgets effectively using tools like Microsoft Excel.
  • Project Management Software: Experience using platforms such as Asana, Monday.com, Workfront, or similar tools to manage complex workflows and timelines.
  • Material Expertise: In-depth knowledge of paper stocks, substrates, inks, varnishes, coatings, and various binding/finishing techniques.
  • Vendor Sourcing & RFQ Process: Demonstrated experience in identifying potential suppliers, writing detailed RFQs, and evaluating vendor proposals.
  • MIS/ERP Systems: Familiarity with Management Information Systems or Enterprise Resource Planning software used in the printing or manufacturing industry.

Educational Background

Minimum Education:

Associate's Degree or equivalent professional experience in a related field.

Experience Requirements

Typical Experience Range:
