Core Responsibilities

Primary Functions

  • Develop, hone, and execute comprehensive purchasing strategies to align with organizational objectives and financial goals.
  • Identify and research potential new suppliers and vendors, conducting thorough due diligence to assess their capabilities, financial stability, and ethical standards.
  • Manage the entire request for proposal (RFP) and request for quotation (RFQ) process, from drafting documents to evaluating bids and presenting findings to stakeholders.
  • Lead and conduct complex negotiations with suppliers on pricing, delivery schedules, payment terms, and other contractual conditions to secure the most advantageous terms for the company.
  • Draft, review, and administer purchasing agreements, service level agreements (SLAs), and contracts, ensuring they comply with legal requirements and company policies.
  • Cultivate and maintain strong, collaborative relationships with key suppliers, acting as the primary point of contact for performance reviews, issue resolution, and strategic alignment.
  • Continuously monitor supplier performance against contractual obligations, tracking key performance indicators (KPIs) such as on-time delivery, quality, and cost-effectiveness.
  • Proactively track and analyze market trends, price fluctuations, and supply chain dynamics to identify potential risks and opportunities for cost savings.
  • Collaborate closely with internal departments, including Operations, Finance, and Legal, to forecast demand and ensure procurement activities meet their specific needs and timelines.
  • Process purchase orders (POs) accurately and efficiently using the company's ERP or procurement software, ensuring all information is correct and approvals are obtained.
  • Resolve any discrepancies with supplier invoices, order quantities, or quality issues in a timely and professional manner to minimize operational disruptions.
  • Maintain and manage an accurate and organized database of supplier information, contracts, and purchasing records for auditing and reporting purposes.
  • Champion and implement cost-reduction initiatives by exploring alternative sourcing options, consolidating vendors, or renegotiating existing contracts without sacrificing quality.
  • Ensure all procurement activities adhere to established company policies, industry regulations, and ethical standards of practice.
  • Prepare and present detailed reports on procurement metrics, such as cost savings, supplier performance, and purchasing trends, to senior management.
  • Manage inventory levels for key materials and components, working with the supply chain team to avoid stockouts or excess surplus.
  • Assess, manage, and mitigate potential risks within the supply chain, such as single-source dependencies, geopolitical instability, or supplier financial distress.
  • Champion sustainable and ethical sourcing practices by identifying and partnering with suppliers who meet environmental and social responsibility criteria.
  • Drive continuous improvement in the procure-to-pay (P2P) process, identifying bottlenecks and recommending system or workflow enhancements.
  • Stay current with new industry technologies, best practices, and regulatory changes to ensure the company's procurement function remains modern and competitive.
