Core Responsibilities
Primary Functions
- Assist senior production staff in the day-to-day management and coordination of production schedules, timelines, and deliverables to ensure project milestones are met.
- Provide on-set or on-site support during production activities, including setting up equipment, organizing materials, and running errands for the cast and crew.
- Participate in pre-production meetings, taking detailed notes and helping to prepare call sheets, production binders, and other essential documentation.
- Collaborate with various departments (e.g., art, sound, logistics, engineering) to facilitate clear communication and ensure seamless workflow integration.
- Conduct research for production needs, such as sourcing props, scouting locations, identifying potential vendors, or gathering background information for content.
- Manage and organize production assets, including digital files, scripts, footage logs, and physical inventory, ensuring they are properly labeled and accessible.
- Support the post-production process by logging footage, transcribing interviews, and assisting editors with organizing clips and media.
- Help maintain a safe and organized production environment by enforcing safety protocols and ensuring workspaces are clean and orderly.
- Assist in tracking the production budget by processing purchase orders, reconciling receipts, and maintaining expense reports for team review.
- Coordinate travel arrangements, accommodations, and transportation for cast, crew, or other production personnel as required.
- Serve as a key point of contact for internal teams and external partners, handling inquiries and disseminating information in a timely and professional manner.
- Monitor production line efficiency and output in a manufacturing setting, collecting data on cycle times, downtime, and material usage for analysis.
- Support quality control processes by performing inspections, documenting defects, and collaborating with engineers to identify root causes and solutions.
- Assist in the creation and updating of Standard Operating Procedures (SOPs) and other process documentation to ensure consistency and compliance.
- Help manage the intake and shipment of goods, materials, or equipment, verifying packing slips and ensuring accurate inventory records.
- Provide administrative support to the production office, including answering phones, managing calendars, scheduling meetings, and handling correspondence.
- Assist in the casting process by organizing headshots and resumes, scheduling auditions, and communicating with talent and agents.
- Prepare and distribute daily or weekly production reports that summarize progress, highlight potential issues, and track key performance indicators.
- Aid in event production by assisting with venue setup, coordinating with vendors, managing registration, and providing on-site support during live events.
- Shadow experienced Production Managers and Coordinators to gain a holistic understanding of project lifecycle management from conception to completion.
- Update and maintain project management software (e.g., Asana, Jira, Monday.com) with current task statuses, notes, and dependencies.
- Contribute creative ideas during brainstorming sessions and pre-production planning to enhance the final product.
Secondary Functions

Required Skills & Competencies
Hard Skills (Technical)

- Familiarity with project management software such as Asana, Trello, Jira, or Monday.com.
- Basic knowledge of media management and file organization principles.
- (For Media) Experience with Adobe Creative Suite (Premiere Pro, Photoshop) is a plus.
- (For Manufacturing) Understanding of basic manufacturing principles, lean concepts, or quality assurance.
- Ability to operate standard office equipment and learn new software platforms quickly.
