Core Responsibilities

Primary Functions

  • Act as the first point of contact for all resident and prospective tenant inquiries, providing exceptional customer service and resolving issues promptly and courteously.
  • Provide comprehensive administrative support to the Property Manager, including managing calendars, handling correspondence, and preparing detailed reports.
  • Skillfully coordinate and dispatch maintenance requests, tracking them from submission to completion to ensure timely resolution and resident satisfaction.
  • Process incoming rental applications by conducting thorough background checks, credit screenings, and verifying employment and rental histories.
  • Prepare, administer, and execute new lease agreements, renewal contracts, and all related addenda with meticulous attention to detail.
  • Assist with the rent collection process, including posting payments to tenant ledgers, issuing receipts, and preparing bank deposits.
  • Proactively follow up on delinquent accounts, sending notices and maintaining communication in accordance with company policy and local regulations.
  • Conduct detailed move-in and move-out inspections with tenants, carefully documenting property conditions and managing security deposit dispositions.
  • Maintain highly organized and up-to-date physical and digital files for all residents, vendors, and property-related incidents.
  • Assist in marketing and leasing vacant units by creating compelling online listings, responding to leads, and conducting engaging property tours for prospective residents.
  • Manage the turnover process for vacant units, coordinating with vendors and maintenance teams to ensure apartments are rent-ready in a timely manner.
  • Prepare and distribute official building-wide notices, community newsletters, and other resident communications to keep the community informed.
  • Process vendor invoices for payment, ensuring accuracy by matching them with purchase orders and work logs, and assisting with accounts payable functions.

Secondary Functions

  • Support the Property Manager in preparing the annual operating budget and analyzing monthly financial statements and variance reports.
  • Assist in planning and executing resident appreciation events and community-building activities to foster a positive living environment.
  • Maintain an accurate inventory of office and maintenance supplies, placing orders as needed to prevent operational disruptions.
  • Ensure the leasing office and all common areas are kept clean, organized, and present a professional and welcoming appearance to all visitors.
  • Help monitor and enforce community policies and procedures to ensure a safe, clean, and respectful environment for all residents.
  • Update and manage property information across various online listing services (ILS) and the property's official website.
  • Compile and prepare weekly and monthly reports on leasing traffic, occupancy rates, market trends, and maintenance activity for management review.

Required Skills & Competencies

Hard Skills (Technical)

  • Property Management Software: Proficiency in industry-standard software such as Yardi, AppFolio, RealPage, or MRI.
  • MS Office Suite Mastery: Advanced skills in Microsoft Word, Excel (for tracking, reporting, and basic analysis), and Outlook (for professional communication and scheduling).
  • Basic Accounting Knowledge: Solid understanding of accounts payable (AP), accounts receivable (AR), and general ledger principles.
  • Leasing & Fair Housing: Working knowledge of landlord-tenant laws, Fair Housing regulations, and the entire leasing lifecycle from application to move-out.
  • Data Entry & Reporting: Fast and accurate typing skills with the ability to input data meticulously and generate clear, concise reports.

Educational Background

Minimum Education:

Typical Experience Range:

  • 1-3 years of experience in a relevant role.
