Core Responsibilities
Primary Functions
- Serve as the first point of contact for all tenant inquiries, service requests, and concerns, ensuring a high level of customer service and timely resolution.
- Coordinate and dispatch maintenance and repair requests by liaising with building engineers, maintenance staff, and third-party vendors.
- Manage the work order system (e.g., Yardi, MRI, Angus), from initial entry and assignment through to completion and tenant follow-up.
- Prepare and distribute tenant communications, including memos, newsletters, and notifications regarding maintenance, events, or policy changes.
- Assist in the administration of leases by abstracting key information, tracking critical dates (expirations, renewals, rent escalations), and maintaining lease files.
- Process accounts payable by coding invoices for property-related expenses, securing approvals from the Property Manager, and submitting for payment.
- Support accounts receivable functions, including tracking tenant payments, sending rent reminders, and assisting with the collection of outstanding balances.
- Coordinate tenant move-ins and move-outs, which includes preparing welcome packages, conducting walkthroughs, and managing the turnover process.
- Solicit bids and proposals from vendors for various services and small projects, and assist in the preparation of service contracts.
- Maintain and manage vendor files, ensuring that all certificates of insurance (COIs) are current and meet property requirements.
- Conduct regular property inspections of common areas, vacant suites, and building exteriors to ensure adherence to quality and safety standards.
- Assist the Property Manager in the preparation of annual operating budgets and monthly financial variance reports.
- Prepare and maintain a variety of property-level reports, including tenant contact lists, vendor lists, incident reports, and leasing activity logs.
- Manage access control systems, including the issuance and deactivation of key cards, fobs, and physical keys for tenants and vendors.
- Plan and coordinate tenant appreciation events and building-wide initiatives to foster a positive and engaged community.
- Maintain organized and up-to-date physical and digital files for all property-related documentation, including leases, contracts, and correspondence.
- Assist with the marketing of vacant spaces by preparing marketing materials, coordinating property tours, and updating online listings.
- Ensure all tenant and vendor contact information is accurately maintained within the property management database.
- Provide comprehensive administrative support to the Property Manager and wider management team, including scheduling meetings, managing calendars, and handling mail.
- Respond to after-hours property emergencies on a rotating or as-needed basis, coordinating the necessary response to mitigate issues.
Secondary Functions
- Support the due diligence process during property acquisitions or dispositions by gathering and organizing relevant documentation.
- Assist with new property transitions by helping to set up files, systems, and operational procedures.
