Core Responsibilities

Primary Functions

  • Proactively research, identify, and qualify potential new suppliers and vendors based on rigorous criteria including price, quality, service, and reliability.
  • Lead and conduct negotiations with suppliers to secure advantageous terms, including pricing, payment schedules, delivery timelines, and contract stipulations.
  • Develop, issue, and manage purchase orders (POs) through the ERP system, ensuring accuracy, proper authorization, and compliance with internal policies.
  • Meticulously track all outstanding purchase orders from placement through to final delivery, proactively communicating and resolving any potential delays or issues.
  • Cultivate and maintain strong, collaborative relationships with key suppliers to foster partnership, improve performance, and drive innovation.
  • Monitor inventory levels in collaboration with inventory management and production teams to ensure optimal stock levels and prevent costly overstocking or stock-outs.
  • Conduct thorough market analysis and forecasting to anticipate price trends, material availability, and potential supply chain disruptions.
  • Develop and implement forward-thinking procurement strategies that align with organizational goals and deliver measurable cost savings and value.
  • Manage and control the procurement budget, tracking spending against forecasts and identifying opportunities for cost reduction and avoidance.
  • Serve as the primary point of contact for resolving complex supplier-related issues, including quality discrepancies, delivery errors, and invoicing problems.
  • Maintain immaculate and organized purchasing records, including supplier information, contracts, quotes, and transaction history within the central database.
  • Ensure all purchasing activities strictly adhere to company policies, industry regulations, and legal and ethical standards.
  • Collaborate closely with internal stakeholders across departments such as production, engineering, finance, and logistics to understand their needs and requirements.
  • Continuously analyze procurement data to generate insightful reports on spending, supplier performance, and cost-saving initiatives for senior management.
  • Plan and conduct periodic supplier performance reviews and site audits to ensure ongoing compliance with quality and service level agreements (SLAs).
  • Oversee the complete procure-to-pay (P2P) cycle, identifying and implementing improvements to streamline processes and enhance efficiency.
  • Manage the competitive bidding process, including the creation and distribution of Requests for Proposals (RFPs) and Requests for Quotations (RFQs).
  • Assess, identify, and develop strategies to mitigate potential risks within the supply chain, such as single-source dependencies or geopolitical instability.
  • Stay abreast of new product developments, industry best practices, and emerging technologies in the procurement and supply chain fields.
  • Champion sustainability and ethical sourcing initiatives within the supplier base, aligning procurement practices with corporate social responsibility goals.
  • Review and process purchase requisitions, verifying specifications and ensuring they are in line with budgetary and strategic objectives.
  • Negotiate and manage service level agreements (SLAs) with suppliers to guarantee performance and establish clear expectations for service and quality.
