Core Responsibilities

Primary Functions

  • Proactively manage and coordinate all patient scheduling for a wide range of diagnostic imaging exams, including MRI, CT, X-Ray, Ultrasound, and Mammography, ensuring optimal resource utilization.
  • Serve as the primary point of contact for patients, providing clear and empathetic instructions regarding exam preparation, arrival times, and what to expect during their visit.
  • Meticulously verify patient demographic and insurance information upon registration, securing necessary pre-authorizations and referrals to prevent billing delays.
  • Handle a high volume of inbound and outbound calls, addressing inquiries from patients, referring physicians' offices, and internal clinical staff with professionalism and accuracy.
  • Diligently manage the retrieval, uploading, and transmission of prior imaging studies and reports from outside facilities, ensuring they are available for radiologist comparison.
  • Accurately enter and maintain patient data and exam orders within the Radiology Information System (RIS) and Electronic Health Record (EHR) systems.
  • Facilitate seamless communication between radiologists, technologists, and referring physicians to clarify orders, convey urgent findings, and coordinate patient care pathways.
  • Prepare and manage daily worklists and schedules for technologists, anticipating potential conflicts and proactively resolving them to maintain departmental flow.
  • Ensure all necessary documentation, including signed consent forms and clinical history questionnaires, is completed accurately and scanned into the patient's electronic chart.
  • Assist patients with navigating the facility, providing support and comfort to anxious individuals and ensuring a positive overall experience.
  • Monitor real-time imaging workflows, identifying and troubleshooting delays in patient throughput or image transmission to the Picture Archiving and Communication System (PACS).
  • Greet patients and visitors in a courteous and professional manner, performing check-in duties and managing waiting room dynamics effectively.
  • Process and distribute finalized radiology reports to the appropriate referring physicians and care teams in accordance with established protocols.
  • Perform image management tasks within PACS, including correcting misidentified studies, merging patient records, and pushing images to specialty workstations as needed.
  • Uphold strict adherence to HIPAA regulations and patient privacy policies in all communications and handling of protected health information (PHI).

Secondary Functions

  • Assist in maintaining inventory levels of essential office and clinical supplies, placing orders as necessary to prevent shortages.
  • Participate in departmental quality assurance initiatives by auditing patient records and exam data for accuracy and completeness.
  • Provide basic, non-clinical assistance to technologists by helping prepare exam rooms and escorting stable patients.
  • Contribute to the training and orientation of new support staff members, sharing knowledge of departmental workflows and system navigation.
  • Compile and prepare statistical data or reports on patient volumes, wait times, or other operational metrics as requested by management.
  • Support ad-hoc requests for medical records and imaging from legal, insurance, and research entities, ensuring proper authorization is in place.

Required Skills & Competencies

Hard Skills (Technical)

  • EMR/EHR & RIS Proficiency: Deep understanding and hands-on experience with electronic medical record systems (e.g., Epic, Cerner) and Radiology Information Systems.
  • PACS Navigation: Competency in navigating Picture Archiving and Communication Systems to manage, view, and transfer medical images.
  • Medical Terminology: A strong command of anatomical and medical terminology, particularly as it relates to radiology and diagnostic procedures.
  • Insurance Verification & Authorization: Knowledge of health insurance plans, CPT codes, and the process for obtaining pre-authorizations for imaging studies.
  • HIPAA Compliance: Thorough understanding and strict application of patient privacy laws and regulations.
  • Microsoft Office Suite: Proficiency in using Word, Excel, and Outlook for communication, data entry, and report generation.

Minimum Education:
