Primary Functions

- Maintain a high level of organization by managing and organizing physical and digital client files, ensuring all correspondence and documents are properly filed and readily accessible.
- Proactively manage attorney calendars, scheduling key events such as closings, client meetings, and critical deadlines with precision.
- Prepare and assemble comprehensive closing packages for all parties, ensuring all necessary documents are included, signed, and properly notarized.
- Facilitate the recording of legal documents, such as deeds and mortgages, with the appropriate county and state offices, both electronically and manually.
- Assist attorneys in preparing for closings by gathering necessary information, confirming figures, and ensuring all conditions for closing have been met.
- Track and manage critical dates and deadlines within transaction timelines, sending reminders to attorneys and clients to prevent delays.
- Handle the receipt and disbursement of escrow funds, including wiring instructions, deposit checks, and payment of outstanding invoices post-closing.
- Open new client matters by collecting initial information, performing conflict checks, and setting up the file within the firm's case management system.
- Prepare and issue title insurance commitments and policies, carefully reviewing for exceptions and requirements and working to clear any title defects.
- Coordinate property-related services, such as ordering property inspections, appraisals, and environmental reports as required for the transaction.
- Draft correspondence and legal notices to various stakeholders, maintaining a professional and clear tone in all communications.
- Assist in resolving pre-closing and post-closing issues, such as tax prorations, utility transfers, or minor title clouds, with guidance from the supervising attorney.
- Prepare corporate and entity formation documents for clients purchasing property under a business name, such as operating agreements and corporate resolutions.
- Maintain and update closing checklists to ensure all steps in a transaction are completed in a timely and orderly fashion.
- Provide exceptional client service by answering client inquiries, providing status updates on their transactions, and explaining the steps of the closing process in an understandable manner.
