Core Responsibilities

Primary Functions

  • Conceptualize, plan, and implement a diverse and well-rounded calendar of recreational, social, and cultural programs designed to meet the unique needs and interests of the target population.
  • Actively lead and facilitate a wide range of individual and group activities, including sports, games, arts and crafts, fitness classes, educational workshops, and social events, with enthusiasm and professionalism.
  • Foster a welcoming, inclusive, and positive atmosphere that encourages maximum participation and social engagement among all participants, residents, or guests.
  • Vigorously monitor all recreational activities and facilities to ensure a safe environment, proactively identifying and mitigating potential hazards and enforcing all safety rules and regulations.
  • Provide exceptional customer service by warmly greeting participants, answering inquiries about programs and schedules, and professionally addressing any concerns or complaints to ensure a positive experience.
  • Manage the setup, breakdown, and proper storage of all equipment, furniture, and supplies required for daily activities, special events, and programs.
  • Conduct regular inspections and perform routine cleaning and light maintenance on recreational equipment and facilities to ensure they are safe, clean, and in good working order.
  • Process program registrations, membership applications, and activity fees using point-of-sale (POS) systems, ensuring accurate cash handling and financial reconciliation.
  • Maintain detailed and accurate records, including participant attendance logs, incident reports, program evaluations, and inventory of supplies.
  • Assist in the marketing and promotion of upcoming activities and events through the creation of flyers, newsletters, social media updates, and direct communication with the community.
  • Supervise and guide participants during off-site excursions and field trips, ensuring their safety and well-being while representing the organization in a professional manner.
  • Adapt program activities on the fly to accommodate varying group sizes, skill levels, weather conditions, or unexpected changes in the daily schedule.

Secondary Functions

  • Provide one-on-one support and encouragement to individuals who may be hesitant to participate, require special assistance, or are new to the community.
  • Solicit feedback from participants and stakeholders through surveys and informal conversations to assess program effectiveness and identify opportunities for improvement.
  • Assist in the ordering and inventory management of all recreational supplies and equipment, ensuring resources are well-stocked and within budget.
  • Collaborate effectively with other departments, such as food service, maintenance, and administration, to coordinate logistics for special events and ensure seamless operations.
  • Attend and actively participate in staff meetings, training sessions, and professional development opportunities to stay current with industry best practices.
  • Chaperone and help manage volunteers or part-time staff who are assisting with recreational programming.
  • Operate audio/visual equipment, such as microphones, projectors, and sound systems, for events, presentations, and fitness classes.
  • Perform basic administrative duties, such as answering phones, responding to emails, making copies, and filing documents to support the department's operations.

Hard Skills (Technical)

  • First Aid, CPR, and AED Certification: A non-negotiable for ensuring participant safety in any active environment.
  • Program Scheduling Software: Proficiency in using software to manage calendars, book facilities, and track registrations.
  • Cash Handling & POS Systems: Experience and accuracy in processing payments, handling cash, and reconciling daily sales.
  • Microsoft Office Suite (Word, Excel, Publisher): Competency in creating promotional materials, tracking data, and writing reports.
  • Basic Equipment Maintenance: Ability to perform minor repairs and routine upkeep on sports, fitness, and A/V equipment.

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:

  • 0-3 years of experience in a customer-facing role within recreation, hospitality, education, or a related field.

  • At least 1 year of direct, hands-on experience planning and leading activities for a specific population (e.g., seniors in an assisted living facility, children in a summer camp, or guests at a resort) is highly desirable.
