Core Responsibilities
Primary Functions
- Cultivate and enhance client relationships by serving as a primary point of contact for all service-related inquiries, providing consistently high-quality and proactive communication.
- Manage all aspects of client onboarding, including gathering required documentation, opening new accounts across various platforms, and ensuring a smooth transition for new households.
- Process and meticulously monitor client-directed and advisor-directed financial transactions, such as cash management requests, wire transfers, ACHs, and journal entries.
- Prepare comprehensive and customized client meeting materials, including performance reports, financial plans, portfolio reviews, and proposals, ensuring accuracy and clarity.
- Proactively manage Financial Advisor calendars, strategically scheduling client appointments, follow-up calls, and internal meetings to optimize their time and efficiency.
- Handle unsolicited client orders and execute trades for a variety of investment products including equities, fixed income, mutual funds, and ETFs under the direction of the client or advisor.
- Investigate and resolve complex client issues and account discrepancies with a high degree of autonomy, coordinating with internal departments and external custodians as needed.
- Maintain and update client information and all interactions within the CRM system (e.g., Salesforce) to ensure data integrity and provide a holistic view of the client relationship.
- Assist in the development and implementation of business development strategies, including identifying potential client opportunities from existing relationships and supporting prospecting efforts.
- Deepen your understanding of financial markets, investment products, and wealth management strategies to more effectively communicate with clients and support your team.
- Ensure strict adherence to all industry regulations and firm policies, including FINRA and SEC rules, by maintaining compliant records and client communications.
- Facilitate the transfer of assets between financial institutions, managing the entire process to ensure a timely and seamless transfer for the client.
- Educate clients on account services, digital platform capabilities, and new firm initiatives to enhance their overall experience and self-service options.
- Organize and prepare necessary documentation for client life events, such as estate settlements, trust distributions, and required minimum distributions (RMDs).
- Collaborate with the Financial Advisor to build and implement systematic, process-driven models for client communication, reviews, and service delivery.
- Manage the team's pipeline of new business, tracking progress and ensuring all necessary follow-up actions are completed in a timely manner.
- Act as a key liaison between the advisory team and other internal departments such as operations, compliance, and legal to facilitate complex transactions and problem resolution.
- Assist with the creation and distribution of approved marketing materials and client communication campaigns, such as newsletters and market updates.
- Prepare and process account maintenance paperwork, including changes of address, beneficiary updates, and account registration changes with meticulous accuracy.
- Support the team's goals by taking ownership of projects and initiatives aimed at improving practice efficiency and the client service model.
- Mentor and provide guidance to junior or unlicensed team members, sharing best practices and fostering a collaborative team environment.

Required Skills & Competencies
Hard Skills (Technical)
- FINRA Licensing: Active FINRA Series 7 and Series 66 (or Series 63 and 65) licenses are essential.
- Microsoft Office Suite: Advanced proficiency in MS Word, PowerPoint, and Outlook, with expert-level skills in Excel for data analysis and reporting.
- CRM Software: Extensive hands-on experience with CRM systems, particularly Salesforce, for client relationship and pipeline management.
- Financial Platforms: Proficiency with major clearing and brokerage platforms such as Pershing NetX360, Thomson ONE, or similar industry software.
- Account Aggregation Tools: Familiarity with tools like eMoney, MoneyGuidePro, or similar financial planning and account aggregation software.
- Investment Product Knowledge: Strong understanding of a wide range of investment products, including stocks, bonds, mutual funds, ETFs, and annuities.
- Money Movement: Expertise in processing various types of fund transfers, including wires, ACH, journals, and ACATs.

- Onboarding Processes: Deep knowledge of new account opening procedures, documentation requirements (KYC), and different account registrations (Individual, Joint, Trust, etc.).
