Core Responsibilities

Primary Functions

  • Patient Triage and Rooming: Escort patients to examination rooms, meticulously document their chief complaint, and prepare them for the provider's evaluation.
  • Vital Signs Measurement: Accurately measure and record patient vital signs, including blood pressure, temperature, pulse rate, respiration, and oxygen saturation, as a foundational component of the clinical assessment.
  • Medication Administration: Administer prescribed medications, vaccinations, and injections (intramuscular, subcutaneous) under the direct supervision of a licensed provider, ensuring strict adherence to the "five rights" of medication safety.
  • Phlebotomy and Specimen Collection: Perform skilled venipuncture and capillary sticks to draw blood for laboratory testing, while also collecting other specimens like urine or swabs, ensuring proper labeling and handling.
  • Patient History Intake: Obtain and document comprehensive patient histories, including current medications, allergies, and past medical conditions, within the Electronic Health Record (EHR) system.
  • Assisting with Procedures: Provide direct, hands-on assistance to physicians and other providers during in-office examinations, treatments, and minor surgical procedures by preparing the room, passing instruments, and ensuring patient comfort.
  • Performing Diagnostic Tests: Operate and maintain clinical equipment to perform key diagnostic tests such as electrocardiograms (EKGs), spirometry, and point-of-care lab tests (e.g., glucose checks, rapid strep tests).
  • Patient Education: Reinforce and clarify provider instructions by educating patients and their families on treatment plans, medication usage, dietary requirements, and preventative health practices.
  • Wound Care and Dressing Changes: Perform basic wound care, including cleaning and applying sterile dressings, and carry out suture or staple removal as directed by a provider.
  • EHR Documentation: Maintain precise and timely documentation of all patient encounters, procedures, test results, and communications within the Electronic Health Record (EHR), ensuring the integrity of the patient's medical file.

Secondary Functions

  • Inventory and Supply Management: Monitor, restock, and order clinical and administrative supplies to ensure that examination rooms and supply closets are consistently well-equipped for patient care.
  • Instrument Sterilization: Prepare and sterilize medical instruments and equipment using autoclaves and approved disinfectants, following strict infection control protocols to ensure patient safety.
  • Appointment Scheduling and Coordination: Manage the provider's schedule by booking, confirming, and rescheduling patient appointments, optimizing clinic flow and minimizing patient wait times.
  • Referral and Authorization Processing: Initiate and manage patient referrals to specialists and obtain prior authorizations from insurance carriers for medications, procedures, and imaging to prevent delays in care.
  • Communicating Test Results: Contact patients to communicate normal lab and imaging results as directed by the provider, and facilitate follow-up appointments for any abnormal findings.
  • Managing Patient Calls: Serve as a clinical point of contact for patient phone calls, addressing questions, triaging concerns according to established protocols, and forwarding messages to providers.
  • Prescription Refill Management: Process prescription refill requests by verifying patient information in the EHR and routing requests to the provider and pharmacy in a timely manner.
  • Maintaining a Clean Clinical Environment: Ensure that all patient examination rooms are thoroughly cleaned, disinfected, and prepared between visits, upholding a high standard of hygiene.
  • Supporting Front Desk Operations: Assist front desk staff during peak times with patient check-in/check-out, insurance verification, and collection of co-payments.
  • Adherence to Compliance and Safety: Uphold all HIPAA, OSHA, and other healthcare regulations, diligently protecting patient privacy and maintaining a safe work environment for everyone.

Educational Background

Minimum Education:

  • Active and current certification as a Registered Medical Assistant (RMA) through AMT, or a comparable certification such as CMA (AAMA).

Preferred Education:

  • Associate of Applied Science (AAS) in Medical Assisting.

Experience Requirements

Typical Experience Range: 0-3 years. While new graduates are welcome, prior experience in a clinical setting is often preferred.

Preferred: 1+ years of experience in an ambulatory or outpatient clinic setting (e.g., family practice, pediatrics, dermatology, cardiology). Hands-on experience with a major EHR system like Epic is highly advantageous.
