Core Responsibilities

Primary Functions

  • Accurately process a wide range of personal and commercial registry transactions, including vehicle registrations, renewals, and transfers in strict accordance with provincial/state legislation.
  • Issue, renew, and update driver's licenses and government-issued identification cards, including conducting vision screenings and capturing photos.
  • Meticulously review and verify client identification and supporting legal documentation to prevent fraud and ensure compliance.
  • Provide comprehensive information and expert guidance to clients regarding complex procedures, required documentation, and associated fees for all registry services.
  • Process corporate registry services, such as business name registrations, incorporations, amendments, and annual return filings.
  • Conduct detailed searches for personal property, corporate records, and land titles, and interpret the results for clients.
  • Handle land title transactions, including transfers, document registration, and mortgage discharges, ensuring all legal requirements are met.
  • Administer knowledge tests for various license classes and efficiently schedule and manage road test appointments.
  • Process vital statistics applications, including birth certificates, marriage licenses, and death certificates, while maintaining the utmost confidentiality.
  • Act as a Commissioner for Oaths, witnessing signatures on affidavits and statutory declarations for official purposes.
  • Manage high-volume, in-person, and phone inquiries, resolving client issues promptly and escalating complex cases to senior staff when necessary.
  • Perform precise and timely data entry of all transaction details into secure government and internal database systems.
  • Calculate fees, handle cash, debit, and credit card payments using a Point-of-Sale (POS) system, and perform daily cash-out and reconciliation procedures.
  • Maintain a thorough and current understanding of all relevant acts, regulations, and procedural updates affecting registry services.
  • Ensure the confidentiality and security of all client information and sensitive documents in compliance with privacy laws (e.g., FOIP, PIPA).

Secondary Functions

  • Support team members by cross-training on various services and assisting during peak periods to maintain service level standards.
  • Contribute to the continuous improvement of office procedures by providing feedback and suggestions for enhancing efficiency and customer experience.
  • Maintain and manage inventory of controlled items such as license plates, validation stickers, and secure forms.
  • Assist with the scanning, filing, and digital archiving of transactional documents according to organizational and legislative retention policies.
  • Participate in regular team meetings and training sessions to stay informed about new services, policy changes, and system updates.
  • Proactively identify opportunities to inform clients about related services that may be beneficial to them.

Required Skills & Competencies

Hard Skills (Technical)

  • Registry Software Proficiency: Experience with specific government systems (e.g., MOVES, APPRES, CORES, SPIN2) is a significant asset.
  • Cash Handling & POS: Demonstrated ability to accurately manage financial transactions and reconcile daily balances.
  • Fast & Accurate Data Entry: Minimum typing speed of 40 WPM with a high degree of accuracy.
  • MS Office Suite: Proficiency in Microsoft Word, Excel, and Outlook for communication and reporting.
  • Knowledge of Legislation: Understanding of relevant acts such as the Traffic Safety Act, Land Titles Act, or Business Corporations Act.
  • Commissioner for Oaths: Active certification or the ability to become certified is highly preferred.
