Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for all new project staffing requests, meticulously assessing project requirements, timelines, and necessary skill sets to propose suitable resource options.
  • Manage and maintain the master resource schedule, ensuring it accurately reflects all current and future project assignments, holidays, and planned time off.
  • Proactively identify and diplomatically resolve any resource conflicts or scheduling discrepancies by collaborating with project managers and department leads.
  • Continuously monitor and analyze resource utilization and workload across all teams, generating reports to highlight availability, potential burnout risks, and opportunities for load balancing.
  • Lead weekly resource planning meetings with key stakeholders to review a a a a upcoming project pipelines, discuss staffing needs, and make strategic allocation decisions.
  • Maintain the integrity of our resource management software (PSA tool), ensuring all data related to employee skills, certifications, availability, and project assignments is accurate and up-to-date.
  • Develop and distribute regular reports on key resource metrics, including utilization rates, forecast vs. actuals, and bench time, providing actionable insights to leadership.
  • Facilitate the effective allocation of unassigned or "benched" resources, identifying internal projects, training opportunities, or short-term assignments to ensure productivity.
  • Collaborate with the Talent Acquisition team by providing data-driven forecasts on future hiring needs based on the project pipeline and skill gaps within the current workforce.
  • Assist project managers in building project teams, considering skill requirements, team dynamics, employee development goals, and budget constraints.
  • Manage a skills matrix or database to track the evolving capabilities and expertise of the workforce, making it easier to identify the best-fit resources for complex tasks.
  • Communicate staffing decisions and project start dates clearly and effectively to all relevant team members and managers.
  • Act as a central source of information for consultant availability, fielding ad-hoc queries from sales and delivery teams to support pre-sales and proposal efforts.
  • Analyze resource data to identify trends and patterns, helping to inform long-term strategic workforce planning and capacity management.
  • Support the onboarding process for new hires by ensuring they are added to the resource management system and have a clear understanding of their initial assignments.
  • Create and refine resource management processes and documentation to improve efficiency, transparency, and standardization across the organization.
  • Champion the use of the resource management tool, providing training and support to new users and encouraging adoption of best practices.
  • Mediate discussions between project teams to negotiate resource sharing and re-prioritization when business needs change unexpectedly.
  • Forecast resource needs for the upcoming quarters by analyzing the sales pipeline and liaising with business development teams.
  • Evaluate and escalate any significant resource constraints or risks to senior management with proposed solutions and mitigation plans.
