Core Responsibilities
Primary Functions
- Serve as the primary point of contact for the day-to-day administration of defined contribution and defined benefit retirement plans, including 401(k), 403(b), and pension plans, ensuring seamless operational execution.
- Counsel and educate employees on retirement plan provisions, enrollment processes, investment options, and distribution and loan features to empower them to make sound financial decisions.
- Process, review, and ensure the accuracy of employee and employer contributions, loan repayments, and other payroll-related data feeds to the plan recordkeeper.
- Manage the entire life cycle of retirement plan distributions, including requests for retirement, termination, disability, and in-service withdrawals, ensuring timeliness and compliance.
- Interpret and administer Qualified Domestic Relations Orders (QDROs) by working with legal counsel, participants, and alternate payees to ensure proper division of assets.
- Lead and coordinate annual compliance activities, including non-discrimination testing (ADP/ACP), top-heavy testing, and Form 5500 filings, in partnership with external auditors and consultants.
- Act as the key liaison between the company, employees, and third-party vendors such as recordkeepers, trustees, actuaries, and investment advisors to resolve issues and optimize service.
- Develop, schedule, and deliver engaging and informative retirement education workshops, webinars, and one-on-one counseling sessions for employees at all levels.
- Monitor and ensure strict adherence to plan documents and all applicable federal regulations, including ERISA, DOL, and IRS rules, to mitigate compliance risks.
- Reconcile retirement plan trust accounts and payroll data on a periodic basis to identify and resolve any discrepancies in a timely manner.
- Oversee the processing of rollovers into and out of the company's retirement plans, verifying documentation and ensuring accurate and secure transfers of funds.
- Manage the annual plan audit process by preparing required documentation, responding to auditor inquiries, and implementing any recommended changes to processes.
- Research and respond to complex and escalated employee inquiries regarding plan features, eligibility, and transaction issues with empathy and a high degree of accuracy.
- Support merger and acquisition activities by assisting with the due diligence and integration of retirement plans from acquired entities.
- Partner with the HR and legal teams to review and update plan documents, Summary Plan Descriptions (SPDs), and other participant communications to ensure they remain current and compliant.
- Administer special plan features such as company stock options, self-directed brokerage accounts, and after-tax contribution strategies.
- Generate and analyze regular and ad-hoc reports on plan participation, contribution rates, investment allocation, and other key metrics to inform strategic decisions.
- Play an active role in the evaluation and selection of new retirement plan vendors or services through formal RFP processes and market analysis.
- Stay current on legislative changes, industry trends, and best practices in retirement plan design and administration to provide proactive recommendations for plan enhancements.
- Manage the required minimum distribution (RMD) process for eligible participants, ensuring timely communication and accurate payment processing.
