Core Responsibilities

Primary Functions

  • Act as the primary point of contact for all guest in-room dining requests, answering phone calls promptly and professionally with a warm, welcoming demeanor.
  • Accurately and efficiently take guest food and beverage orders, demonstrating comprehensive knowledge of the menu, including ingredients, preparation methods, and potential allergens.
  • Skillfully guide guests through the menu, providing personalized recommendations and actively upselling premium items, daily specials, and beverage pairings to enhance their experience and drive revenue.
  • Meticulously enter all order details into the Point of Sale (POS) system, ensuring absolute accuracy regarding items, quantities, special dietary requests, and guest information.
  • Coordinate seamlessly with the culinary team to communicate orders, modifications, and specific timing requests, ensuring all dishes are prepared to the hotel's high standards.
  • Liaise with Room Service Attendants to organize and dispatch orders, ensuring that trays are correctly set, complete, and delivered to guest rooms in a timely and efficient manner.
  • Monitor the entire order fulfillment process, from kitchen preparation to delivery, proactively identifying and resolving any potential delays or issues before they impact the guest.
  • Handle guest inquiries, concerns, and complaints with empathy and professionalism, taking ownership of issues to find swift and satisfactory resolutions.
  • Maintain a thorough understanding of hotel amenities, services, and hours of operation to assist guests with a wide range of inquiries beyond the in-room dining menu.
  • Process all forms of payment, including room charges, credit cards, and cash, ensuring all transactions are handled accurately and securely according to established procedures.
  • Organize and manage the flow of "call-down" requests for tray and trolley removal from guest rooms and hallways, dispatching staff to maintain clear and tidy corridors.
  • Maintain constant communication with the team via radio or other devices to ensure smooth operations and quick response times to guest needs.
  • Anticipate guest needs by paying close attention to order details and history, such as remembering a repeat guest's preference or suggesting items for a family with children.
  • Ensure all VIP and special occasion orders are prepared and delivered with the appropriate amenities and a heightened level of attention.
  • Assist in preparing amenity deliveries and ensuring they are dispatched to the correct rooms according to the daily arrivals list or special requests.
  • Log and track all guest feedback, issues, and resolutions to contribute to a continuous cycle of service improvement.

Secondary Functions

  • Assist in maintaining the cleanliness, organization, and sanitation of the room service order-taking station and immediate work area.
  • Support the In-Room Dining Manager with basic administrative tasks, such as printing daily reports on sales, order volume, and delivery times.
  • Participate in periodic inventory checks of room service supplies, including condiments, printed materials, and service ware, reporting any shortages.
  • Contribute to the training and onboarding of new Room Service Attendants, particularly on order-taking procedures and guest interaction standards.
  • Stay updated on hotel promotions, events, and F&B initiatives to effectively inform guests and promote other hotel outlets.

Required Skills & Competencies

Hard Skills (Technical)

  • POS System Proficiency: Extensive experience operating hospitality POS systems like Micros, Simphony, or SilverWare.
  • Menu Knowledge & Food Safety: Strong understanding of culinary terms, ingredients, and basic food safety (HACCP) principles.
  • Order Management Systems: Familiarity with software or processes used to track orders from placement to delivery.
  • Cash Handling & Accounting: Competency in accurately processing payments, closing reports, and handling financial transactions.
  • Multilingual Ability: Fluency in a second language is highly valued to cater to international guests.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range: 1-3 years of experience in a high-volume food and beverage or guest service environment, preferably within a hotel or resort setting.

Preferred: At least one year of direct experience in an in-room dining or restaurant host/hostess role is strongly preferred.
