Core Responsibilities

Primary Functions

  • Operate computerized truck scale systems to accurately weigh inbound and outbound commercial vehicles, ensuring proper positioning on the scale for precise measurements.
  • Diligently collect and verify essential information from drivers, including truck numbers, hauler names, material types, and origin/destination points.
  • Generate and issue detailed, accurate weigh tickets for all transactions, ensuring all required data is captured correctly before the driver departs.
  • Process payments for materials, including handling cash, checks, and credit card transactions, and ensuring the cash drawer is balanced at the end of each shift.
  • Politely and effectively communicate with truck drivers, providing clear instructions for navigating the site, positioning on the scale, and proceeding to loading/unloading areas.
  • Maintain meticulous and organized records of all daily transactions, including weigh tickets, payment receipts, and Bills of Lading, for auditing and reporting purposes.
  • Perform accurate and swift data entry of all ticket information into the company’s business software or database, minimizing errors to ensure data integrity.
  • Monitor truck traffic flow in the scale area to maintain a safe and efficient operational pace, preventing backups and directing vehicles as needed.
  • Inspect inbound and outbound loads to verify that the material type matches the ticket information and to identify any potential contaminants or non-conforming materials.
  • Enforce all site safety rules and procedures with drivers and visitors, serving as a first point of contact for safety compliance at the facility entrance.
  • Answer incoming phone calls, address customer and driver inquiries, and professionally route calls to the appropriate personnel or department.
  • Prepare and compile daily, weekly, or monthly summary reports of scale activity, tonnage, and transactions for management review.
  • Collaborate closely with yard personnel, equipment operators, and the business office to ensure seamless communication and coordination of vehicle flow and material processing.
  • Conduct routine checks and basic maintenance of the scale and scale house equipment, including cleaning debris and reporting any malfunctions or needs for calibration.
  • Reconcile end-of-day transaction records and payment reports, ensuring all financial data aligns with the physical tickets generated.
  • Assist in managing inventory records by accurately tracking the volume of materials entering and leaving the facility.
  • Address and resolve any discrepancies or customer disputes regarding weight or ticket information in a professional and courteous manner.
  • Ensure all weighing activities comply with state and federal regulations, including Department of Transportation (DOT) guidelines and weights and measures standards.
  • Manage the filing and archiving of all physical and digital paperwork related to scale operations in accordance with company record-keeping policies.
  • Provide exceptional customer service, fostering a positive and professional relationship with new and returning haulers and customers.

  • Contribute to the organization's data strategy and roadmap by identifying opportunities for process improvement at the point of data capture.
  • Collaborate with business units to translate data needs into engineering requirements for scale software enhancements.

  • Assist with month-end inventory reconciliation and reporting.
  • Provide backup support for dispatch and administrative office staff as needed.

Required Skills & Competencies

Hard Skills (Technical)

  • Computer Proficiency: Strong skills in using Microsoft Office Suite (Word, Excel, Outlook) and experience with specialized scale operation software (e.g., Weigh-It, Mettler Toledo, Paradigm).
  • Data Entry: High speed and accuracy in 10-key and alphanumeric data entry.
  • Basic Mathematics: Solid understanding of basic math for calculating weights, verifying transactions, and handling cash.
  • Cash Handling: Experience with processing cash, check, and credit card payments and operating a point-of-sale (POS) system.
  • Record Keeping: Ability to maintain accurate, legible, and organized logs and files, both digitally and in hard copy.
  • Two-Way Radio Communication: Proficiency in using a two-way radio for clear and concise communication with yard staff and drivers.

Experience Requirements

Typical Experience Range:

1-3 years of experience in a similar role, such as a scale operator, weighmaster, data entry clerk, or customer service in an industrial setting.

  • Bilingual abilities (e.g., English/Spanish) are often a significant plus.
