Core Responsibilities

Primary Functions

  • Proactively manage and meticulously maintain complex and often-changing calendars for multiple executives, teams, or high-volume projects, ensuring all appointments are accurate and conflicts are resolved swiftly.
  • Coordinate and schedule a high volume of internal and external meetings, including multi-party conference calls, video conferences, and in-person appointments across numerous time zones.
  • Act as the primary gatekeeper for scheduling requests, using sound judgment to prioritize meetings and protect the time of the individuals or teams you support.
  • Manage all logistical aspects of meetings, including booking conference rooms, arranging for necessary audiovisual (AV) equipment, and coordinating catering services.
  • Prepare and distribute detailed meeting agendas, pre-read materials, and other relevant documentation to all participants well in advance of scheduled events.
  • Arrange complex and detailed domestic and international travel itineraries, including flights, hotel accommodations, ground transportation, and visa applications.
  • Communicate with internal and external stakeholders, including high-level executives, clients, and partners, with a high degree of professionalism and confidentiality.
  • Send timely meeting confirmations, reminders, and follow-up communications to ensure all participants are informed of any changes or updates.
  • Track and monitor responses from meeting attendees, following up as necessary to ensure quorums are met and all key personnel can attend.
  • Resolve scheduling conflicts with a solutions-oriented approach, proposing alternative times and dates while considering the priorities and preferences of all parties.
  • Maintain and update a central repository of scheduling information, contact lists, and procedural documents for team-wide visibility and consistency.
  • Navigate and become a subject matter expert in various scheduling and video conferencing software, such as Microsoft Outlook, Google Calendar, Calendly, Zoom, and Microsoft Teams.
  • Anticipate scheduling needs by looking ahead at calendars and proactively identifying potential conflicts or logistical challenges before they arise.
  • Coordinate the scheduling and logistics for larger-scale events, such as team off-sites, workshops, and client-facing presentations.
  • Handle a high volume of email and phone correspondence related to scheduling inquiries with speed, accuracy, and a professional demeanor.
  • Adapt to frequent, last-minute changes in schedules and travel plans, and communicate these adjustments clearly and efficiently to all affected parties.
  • Liaise with assistants from other departments and external organizations to coordinate executive availability for collaborative meetings.
  • Prepare and submit accurate and timely expense reports related to travel and meetings for the individuals or teams being supported.
  • Provide a seamless experience for visitors and external guests by coordinating their on-site visits, including greeting them, arranging temporary workspace, and ensuring a positive impression.
  • Compile briefing materials and background information for executives ahead of their meetings to ensure they are fully prepared.

Secondary Functions

  • Assist with the onboarding of new team members by helping to schedule their introductory meetings and training sessions.
  • Provide backup administrative support to other team members and departments during periods of high demand or absence.
  • Contribute to the continuous improvement of administrative processes by identifying and suggesting more efficient ways of working.

  • Scheduling Software Expertise: Hands-on experience with modern scheduling tools like Calendly, Acuity Scheduling, or similar enterprise-level calendar management platforms.
  • Video Conferencing Platforms: Fluency in setting up and troubleshooting meetings on major platforms such as Zoom, Microsoft Teams, and Google Meet.
