Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for all inbound and outbound scheduling requests, managing a high volume of phone calls, emails, and portal messages with exceptional professionalism and efficiency.
  • Expertly navigate and maintain complex scheduling systems, electronic health records (EHR), or enterprise resource planning (ERP) software to accurately book, confirm, reschedule, and cancel appointments or service calls.
  • Proactively communicate with patients, clients, and internal staff regarding appointment details, pre-arrival instructions, potential delays, and any changes to the schedule to ensure all parties are well-informed.
  • Meticulously verify patient or client information, including demographic data, insurance eligibility, and contact details, ensuring accuracy and completeness for billing and record-keeping purposes.
  • Skillfully coordinate multi-resource or multi-disciplinary appointments, aligning the availability of physicians, technicians, equipment, and conference rooms to optimize workflow and resource utilization.
  • Thoughtfully manage and optimize appointment templates and scheduling blocks within the system to maximize provider/resource capacity and minimize patient wait times or service delays.
  • Triage incoming appointment requests based on urgency, clinical necessity, and established protocols to ensure timely access to care or services for those in greatest need.
  • Maintain and monitor cancellation and waitlists, proactively contacting clients or patients to fill last-minute openings and optimize the daily schedule.
  • Obtain necessary prior authorizations and referrals by liaising with insurance companies and other departments, ensuring all required approvals are secured before services are scheduled.
  • Generate and distribute daily or weekly schedules to relevant departments and personnel, highlighting any special instructions or potential conflicts.
  • Troubleshoot and resolve scheduling conflicts and client concerns with patience and creativity, finding solutions that accommodate both the individual's and the organization's needs.
  • Educate patients or clients on scheduling policies, cancellation procedures, and any financial responsibilities associated with their appointment.
  • Maintain strict confidentiality of all patient, client, and proprietary information in compliance with HIPAA and other privacy regulations.

Secondary Functions

  • Assist in the compilation and preparation of daily, weekly, and monthly scheduling reports to track key metrics like appointment volume, no-show/cancellation rates, and resource utilization.
