Core Responsibilities
Primary Functions
- Serve as the primary point of contact for parents, students, staff, and the public, providing exceptional customer service, answering inquiries, and directing individuals to the appropriate resources.
- Manage and maintain the master school calendar, coordinating and scheduling meetings, appointments, school events, and facility usage for the Principal and other administrative staff.
- Maintain and manage student records with the utmost confidentiality and accuracy, including enrollment, attendance, transfers, health records, and withdrawals, ensuring compliance with FERPA regulations.
- Operate and update the school's Student Information System (SIS), such as PowerSchool or Skyward, ensuring all student data is current and generating reports as needed.
- Manage all incoming and outgoing school communications, including phone calls, emails, faxes, and mail; screen calls and take detailed, accurate messages.
- Prepare, format, and distribute official school communications, such as newsletters, memos, announcements, and parent notifications.
- Provide direct administrative support to the Principal and Assistant Principal(s), including drafting correspondence, preparing reports, and managing complex schedules.
- Monitor and manage student attendance, including tracking absences and tardies, making parent calls to verify absences, and preparing attendance reports.
- Administer basic first aid for minor student injuries or illnesses, contact parents or emergency services when necessary, and maintain a precise log of all incidents and medication administered.
- Oversee front office security protocols, including monitoring visitor access, managing sign-in/sign-out procedures, and issuing visitor badges.
- Process and manage office financial transactions, including purchase orders, invoices, and staff expense reports; assist with basic bookkeeping and tracking of the school office budget.
- Manage the registration and withdrawal process for new and departing students, guiding families through required paperwork and ensuring a smooth transition.
- Coordinate the logistics for substitute teachers, including contacting them from an approved list, preparing substitute folders, and providing necessary classroom information.
- Maintain office and classroom supply inventory by checking stock, anticipating needs, placing and expediting orders, and verifying receipt of supplies.
- Assist in the organization and logistical support for school-wide events, including parent-teacher conferences, open houses, assemblies, and graduation ceremonies.
- Compile, maintain, and file all physical and digital reports, records, and other critical documents as required by school, district, and state policies.
Secondary Functions
- Create and maintain a welcoming, organized, and efficient front office environment that is positive and conducive to learning.
- Assist with the coordination of student transportation for field trips, athletic events, and special needs requirements.
- Prepare and manage the daily school announcements, whether through the public address system or digital communication platforms.
