Core Responsibilities

Primary Functions

  • Serve as a primary point of contact for event attendees, proactively greeting guests, answering questions, and providing detailed information about schedules, venue maps, and activities.
  • Facilitate a smooth and efficient guest check-in process, including scanning tickets, verifying credentials, distributing wristbands, and managing registration lines to minimize wait times.
  • Execute the physical setup and breakdown of event spaces, which includes arranging furniture, setting up booths, assembling displays, and installing directional signage according to floor plans.
  • Operate Point-of-Sale (POS) systems and mobile payment devices to process transactions for merchandise, food and beverage, or ticket sales accurately and efficiently.
  • Actively engage with attendees to enhance their event experience, encouraging participation in activities, gathering informal feedback, and creating a welcoming and energetic atmosphere.
  • Manage crowd flow and monitor specific zones or stations, ensuring guest safety, enforcing venue rules, and communicating any potential issues to security or management.
  • Provide direct support to event managers and coordinators by running errands, relaying messages between teams, and performing various tasks as needed to ensure smooth event flow.
  • Maintain the cleanliness and organization of event areas, including guest-facing zones, registration desks, and merchandise booths, throughout the duration of the event.
  • Assist in the execution of promotional activities and brand activations, which may involve distributing marketing materials, managing giveaways, and encouraging social media engagement.
  • Troubleshoot and resolve guest concerns and minor issues on the spot with professionalism and empathy, escalating more complex problems to a supervisor when necessary.
  • Assist with inventory management for event supplies and merchandise, including unpacking deliveries, organizing stock, and communicating low-stock levels to the team lead.
  • Ensure all event activities are conducted in compliance with safety regulations and company policies, including monitoring capacity limits and emergency exit pathways.
  • Gather and organize event materials, equipment, and supplies post-event, ensuring everything is accounted for, properly packed, and stored for future use.
  • Support vendors and partners by directing them to their designated spaces, providing basic logistical information, and acting as a point of contact for immediate needs.
  • Operate basic audio/visual equipment for presentations or activities, such as microphones, projectors, or music playlists, under the direction of a technical lead.

Secondary Functions

  • Assist in gathering attendee feedback through informal conversations and formal surveys to contribute to post-event analysis and future event improvements.
  • Monitor and report on the status of event supplies, such as water, registration materials, and merchandise, to ensure continuous availability.
  • Help document the event by taking photos or short videos for social media content when directed, capturing the energy and highlights of the experience.
  • Manage the lost-and-found station, logging items, and making a diligent effort to reunite attendees with their lost belongings.
  • Provide backup support to other event associates during peak times or in different zones to ensure consistent service levels across the entire event.
