Core Responsibilities

Primary Functions

  • Proactively scout, identify, and source a diverse range of talent, including on-air personalities, actors, musicians, influencers, and experts, across various platforms and industry events.
  • Build and meticulously maintain a robust and up-to-date database of talent, agents, managers, and publicists, fostering strong, professional relationships across the industry.
  • Develop and execute creative and targeted outreach strategies to engage with potential talent and their representation for specific projects and ongoing needs.
  • Manage the entire booking lifecycle, from initial pitch and talent submission review to final confirmation and logistical coordination.
  • Lead negotiations for appearance fees, travel arrangements, contract terms, and other key deal points, ensuring alignment with budget constraints and project objectives.
  • Draft, review, and process all necessary booking documentation, including deal memos, contracts, and appearance releases, in collaboration with legal and finance departments.
  • Serve as the primary liaison between secured talent, their representatives, and internal production, creative, and marketing teams to ensure seamless communication.
  • Create and present compelling talent decks and casting presentations to key internal and external stakeholders to gain buy-in for proposed talent.
  • Stay relentlessly current with pop culture, industry trends, and emerging talent to provide insightful recommendations and maintain a competitive edge.
  • Coordinate all logistical aspects of a talent's engagement, including complex travel itineraries, accommodation, ground transportation, and detailed daily schedules.
  • Vet potential talent for brand safety, audience alignment, and professional history to mitigate risk and ensure a positive partnership.
  • Collaborate closely with producers and creative directors to deeply understand the specific talent needs, creative vision, and desired tone for each project.
  • Manage and track talent budgets, providing accurate forecasting and reporting on expenditures to senior leadership.
  • Attend industry showcases, film festivals, concerts, and networking events to discover new talent and strengthen industry connections.
  • Act as the on-site point of contact for talent during productions or events, providing a high-touch, professional experience and addressing any needs or concerns that arise.
  • Track and analyze talent performance metrics and audience engagement to measure the impact and ROI of booking decisions.

Secondary Functions

  • Support senior executives by generating ad-hoc reports on talent availability, booking trends, and competitive landscape analysis.
  • Contribute to the development and refinement of the organization's overall talent strategy and long-term booking roadmap.
  • Handle and process all talent-related invoices, per diems, and expense reimbursements in a timely and accurate manner.
  • Maintain and organize a central library of talent headshots, biographies, and performance clips for easy access by creative teams.
  • Resolve any scheduling conflicts or logistical challenges that may arise with professionalism and a solutions-oriented mindset.
  • Participate in creative brainstorming sessions to provide input on how talent can be integrated into new projects and initiatives.

Required Skills & Competencies

  • Contract Negotiation: Proven ability to negotiate complex deal points, including fees, usage rights, and contractual terms, to achieve favorable outcomes.
  • Budget Management: Experience creating, tracking, and managing talent budgets with a high degree of accuracy.
  • Database Management (CRM): Proficiency in using and maintaining contact and project management systems to organize vast amounts of information.
  • Booking & Scheduling Software: Familiarity with industry-specific booking software and project management tools (e.g., Asana, Monday.com).
  • Industry Regulations: Working knowledge of union guidelines (e.g., SAG-AFTRA) and other legal standards relevant to talent booking.

Education & Experience

Educational Background

Minimum Education:

  • A Bachelor's degree is strongly preferred, but equivalent, substantial industry experience will be considered.

Experience Requirements

Typical Experience Range:

  • 3-7 years of direct experience in a talent booking, casting, or talent relations role.

Preferred:

  • Demonstrable experience working within a fast-paced environment at a television network, production company, talent agency, or major events company. A pre-existing, robust network of contacts with agents, managers, and publicists is highly desirable.
