Core Responsibilities
Primary Functions
- Develop and execute a comprehensive, data-driven talent booking strategy that aligns with the brand, audience demographics, and financial objectives of the organization.
- Spearhead the identification, scouting, and pursuit of a diverse range of local, regional, national, and international talent, including musicians, bands, DJs, comedians, and specialty acts.
- Initiate, cultivate, and maintain strong, lasting relationships with talent agencies, artist managers, labels, and industry professionals to ensure priority access to a premier pipeline of performers.
- Manage the full cycle of high-stakes negotiations, including artist fees, performance guarantees, travel and accommodation buyouts, and back-end profit-sharing deals to secure favorable terms.
- Draft, review, redline, and execute detailed performance contracts, ensuring all legal and logistical terms, including complex technical and hospitality riders, are clearly defined and mutually agreed upon.
- Conduct in-depth market research and competitive analysis of ticket sales data, competitor bookings, and industry trends to inform booking decisions and strategic pricing.
- Create, manage, and meticulously track event-specific budgets, forecasting all potential costs for talent, production, marketing, and staffing to ensure profitability and ROI.
- Collaborate closely with marketing, social media, and promotions teams to develop innovative campaigns and provide artist assets that maximize ticket sales and event attendance.
- Oversee the entire "offer" process, including constructing and submitting formal offers to agents and skillfully managing the subsequent negotiation and confirmation stages.
- Maintain and update a detailed master booking calendar, strategically managing routing, holds, and challenges to optimize the event schedule and prevent conflicts.
- Liaise directly with the production team to thoroughly review and advance artist technical riders, confirming all sound, lighting, staging, and backline requirements can be met or negotiated.
- Coordinate with operations and hospitality departments to flawlessly fulfill all aspects of artist riders, including catering, green room setup, security, and ground transportation.
- Analyze post-event performance metrics, including final ticket counts, revenue, per-caps, and audience feedback, to evaluate the success of bookings and refine future strategies.
- Serve as a key on-site point of contact for artists and their teams on show days, ensuring a professional, high-touch experience from load-in to settlement and load-out.
- Handle the complete financial settlement process post-event, accurately calculating and processing payments to artists and agencies based on complex contractual agreements and sales reports.
- Stay relentlessly abreast of emerging artists and genres by attending live shows, festivals, and industry conferences to maintain a cutting-edge understanding of the entertainment landscape.
- Manage multiple booking projects and venue calendars simultaneously, adeptly prioritizing tasks and deadlines in a fast-paced, high-pressure environment.
- Prepare and present regular, detailed reports for senior management on booking activities, financial performance, upcoming schedules, and long-term programming plans.
- Proactively resolve any conflicts or issues that may arise with artists, agents, or internal teams in a diplomatic, efficient, and solution-oriented manner.
- Ensure all booked events and artist agreements are in full compliance with local, state, and federal regulations, including permitting, insurance, union rules, and capacity laws.
- Build, maintain, and leverage a comprehensive internal database of artists, agents, and managers, tracking performance history, fees, sales data, and contact information.
Secondary Functions
- Collaborate with the marketing team to provide artist assets and key information for promotional campaigns, press releases, and social media content.
- Assist in the development of sponsorship and partnership opportunities related to specific artists, tours, or events.

Required Skills & Competencies
