Core Responsibilities

Primary Functions

  • Proactively manage and maintain complex calendars for multiple team leaders and senior members, skillfully navigating scheduling conflicts and prioritizing appointments to optimize productivity.
  • Act as the primary gatekeeper and point of contact for the team, expertly triaging incoming requests, inquiries, and correspondence to ensure timely and appropriate responses.
  • Plan, coordinate, and execute all logistical aspects of internal and external meetings, including agenda creation, material distribution, room booking, A/V setup, and catering arrangements.
  • Prepare, edit, and format professional business communications, presentations, and reports using MS Office and Google Workspace, ensuring accuracy and brand consistency.

  • Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and creating detailed itineraries for traveling team members.

  • Manage the procurement of office supplies, software licenses, and equipment for the team, maintaining inventory and liaising with vendors as needed.
  • Facilitate the onboarding and offboarding processes for team members, ensuring a smooth transition by coordinating with IT, HR, and facilities for setup and access.
  • Develop and maintain strong working relationships with other administrative professionals and coordinators across the organization to facilitate cross-functional collaboration.

  • Calendar Management: Demonstrated expertise in managing multiple, complex calendars simultaneously using tools like Google Calendar and Outlook.
