Core Responsibilities

Primary Functions

  • Act as the central point of contact for all project-related communications, efficiently disseminating information between engineering, product, and business stakeholder teams.
  • Develop, maintain, and meticulously track comprehensive project plans, schedules, and resource maps, ensuring all milestones are documented and pursued.
  • Facilitate key project meetings, including daily stand-ups, sprint planning, and retrospectives, while being responsible for capturing and distributing detailed meeting minutes and actionable takeaways.
  • Proactively monitor project progress against established timelines, identifying potential risks, dependencies, and bottlenecks, and escalating them to project management with proposed solutions.
  • Manage and maintain all project-related documentation within centralized repositories like Confluence or SharePoint, including technical specifications, process diagrams, and status reports.
  • Coordinate the allocation of technical resources, ensuring team members have the necessary tools, software licenses, and system access to perform their duties effectively.
  • Provide first-level triage and support for technical issues arising during the project lifecycle, escalating complex problems to the appropriate engineering teams with clear and concise details.
  • Administer and oversee project management tools such as Jira or Asana, ensuring all tasks, user stories, and bugs are accurately created, assigned, updated, and resolved.
  • Liaise with external vendors, third-party contractors, and technology partners to coordinate deliverables, manage expectations, and ensure their work aligns with project standards.
  • Support the Quality Assurance (QA) lifecycle by coordinating testing schedules, tracking defects and their resolutions, and facilitating clear communication between developers and testers.
  • Prepare and deliver regular, clear, and insightful status reports and performance dashboards for leadership and stakeholders, highlighting key achievements and project health.
  • Assist in the definition and refinement of technical workflows and Standard Operating Procedures (SOPs) to enhance team efficiency, quality, and project consistency.
  • Oversee the procurement, tracking, and inventory management of project-specific hardware, software, and other essential technical assets.
  • Onboard new technical team members to projects by providing comprehensive introductions to project goals, documentation, systems, and key personnel.
  • Independently manage small-scale technical projects or distinct workstreams within a larger program, operating under the guidance of a senior project manager.
  • Coordinate User Acceptance Testing (UAT) sessions with business stakeholders, compiling and organizing feedback for the development team to review and implement.

Secondary Functions

  • Support ad-hoc data requests by pulling and analyzing project metrics to provide insights into team performance and project velocity.
  • Contribute to the organization's institutional knowledge by documenting project retrospectives, lessons learned, and best practices for future initiatives.

  • Ensure all project activities and deliverables maintain compliance with internal security policies, industry standards, and relevant regulatory frameworks.

  • Project Management Software: High proficiency with tools like Jira, Asana, Trello, or Microsoft Project to manage tasks, backlogs, and project timelines.
