Core Responsibilities

Primary Functions

  • Provide comprehensive administrative and operational support to assigned teams or departments to ensure the seamless execution of daily tasks and long-term projects.
  • Manage and maintain complex calendars, schedule internal and external meetings across multiple time zones, and coordinate all associated logistics, including room booking and video conferencing setup.
  • Prepare, format, proofread, and distribute a wide range of professional documents, including reports, presentations, proposals, meeting agendas, and internal/external correspondence.
  • Perform accurate and timely data entry and data cleansing in various business systems, including CRM (e.g., Salesforce) and ERP platforms, ensuring the highest level of data integrity.
  • Act as a central point of contact for internal inquiries, efficiently triaging requests, providing necessary information, and routing complex issues to the appropriate personnel.
  • Assist with the full lifecycle of project coordination, from tracking timelines and deliverables to updating project management tools (like Asana or Jira) and flagging potential risks to project leads.
  • Process and track financial documents, such as invoices, expense reports, and purchase orders, ensuring compliance with company policies and timely submission.
  • Organize and maintain sophisticated digital and physical filing systems to ensure quick and secure retrieval of critical company documents, contracts, and project information.
  • Coordinate domestic and international travel arrangements for team members, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
  • Attend key meetings to capture detailed notes and action items, followed by prompt and clear distribution to all relevant stakeholders to drive accountability.
  • Conduct preliminary research on specified topics, competitors, or market trends, summarizing findings into concise reports to support strategic decision-making.
  • Handle highly confidential and sensitive information with the utmost discretion and professionalism, adhering strictly to all data privacy and security protocols.
  • Support the planning and execution of internal events, from small team-building activities to larger departmental meetings or off-sites, managing logistics from start to finish.
  • Manage office supply inventory, monitor stock levels, and place orders as needed to ensure the team is well-equipped and resources are consistently available.
  • Assist in the onboarding process for new hires or contractors by preparing welcome materials, coordinating system access, and scheduling introductory meetings.

Secondary Functions

  • Support ad-hoc data requests and perform exploratory data analysis to generate quick insights for business stakeholders.
  • Contribute to the organization's data strategy and roadmap by identifying opportunities for process improvement and better data management.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Microsoft Office Suite, especially Excel (pivot tables, v-lookups), PowerPoint (presentation design), Word (formatting), and Outlook (advanced calendaring).
  • Demonstrable experience with data entry and record-keeping in CRM or ERP systems (e.g., Salesforce, NetSuite, SAP).
  • Familiarity with modern project management software such as Asana, Trello, Monday.com, or Jira for task tracking and collaboration.
  • Strong typing skills with an emphasis on speed and accuracy for efficient document creation and data transcription.
  • Experience managing complex scheduling and logistics using Google Calendar, Outlook Calendar, and other scheduling tools.
