Core Responsibilities

Primary Functions

  • Proactively screen public and private procurement portals to identify and qualify new business opportunities that align with our strategic objectives.
  • Conduct thorough analysis of tender documents (RFPs, RFQs, EOIs) to fully understand client requirements, evaluation criteria, submission deadlines, and potential risks.
  • Lead the bid/no-bid decision process by presenting a concise summary of the opportunity to key stakeholders and providing a data-driven recommendation.
  • Develop and manage a comprehensive bid project plan, meticulously outlining all tasks, dependencies, owner responsibilities, and critical path milestones.
  • Orchestrate and lead bid kick-off meetings to align all internal contributors—including Sales, Legal, Finance, Technical, and Operations—on the bid strategy and win themes.
  • Author, edit, and proofread persuasive and client-focused proposal narratives, ensuring a clear, consistent, and compelling voice throughout the document.
  • Coordinate the collection of all necessary information from subject matter experts (SMEs) across the organization, ensuring technical and commercial content is accurate and impactful.
  • Manage the entire proposal lifecycle, including version control, content consolidation, quality reviews, and final document formatting and production.
  • Guarantee 100% compliance of the final submission with all administrative, technical, and commercial requirements stipulated in the tender documents.
  • Collaborate closely with the finance and commercial teams to develop a competitive, profitable, and strategically sound pricing model for each bid.
  • Manage all formal communications with the procuring authority, including submitting clarification questions and coordinating responses to inquiries.
  • Oversee the final submission process, ensuring flawless and on-time delivery through electronic portals or physical dispatch.
  • Conduct detailed post-submission debriefs and win/loss analysis, gathering client feedback to drive continuous improvement in our bidding process.
  • Track all tender activities, pipeline status, and key performance indicators (e.g., win rate, submission volume) within our CRM or bid management platform.

Secondary Functions

  • Maintain and continuously enhance a centralized knowledge base or content library of reusable proposal content, case studies, and boilerplate information.
  • Generate and present regular reports to leadership on bid performance, market trends, and competitor activity to inform business strategy.
  • Build and nurture strong collaborative relationships with internal stakeholders to foster a culture of efficiency and excellence in bidding.
  • Support the sales team in preparing for post-submission activities, such as client presentations, interviews, and contract negotiations.
  • Contribute to the ongoing improvement of bid management processes, tools, and templates to increase overall efficiency and win rates.
  • Systematically archive all bid-related documentation for auditing purposes, future reference, and knowledge sharing.
  • Assist in managing the registration and upkeep of company profiles on various government and client procurement portals.

  • Expert-Level MS Office Suite: Advanced proficiency in Microsoft Word for document formatting, Excel for data analysis and pricing, and PowerPoint for presentation support.
  • Bid Management Software: Hands-on experience with proposal automation platforms such as RFPIO, Loopio, or Qvidian is highly desirable.
  • CRM Proficiency: Familiarity with CRM systems like Salesforce or HubSpot for tracking sales funnels and tender pipelines.
