Core Responsibilities

Primary Functions

  • Proactively monitor and identify relevant tender opportunities across various public (e.g., government portals) and private procurement platforms, conducting initial analysis to determine strategic fit and alignment with company capabilities.
  • Manage the end-to-end bid lifecycle for Requests for Proposals (RFPs), Requests for Information (RFIs), Requests for Quotation (RFQs), and Expressions of Interest (EOIs).
  • Coordinate and lead bid kick-off meetings with key internal stakeholders, establishing a clear win strategy, assigning responsibilities, and defining a comprehensive project timeline with key milestones.
  • Develop and manage a detailed bid plan and schedule for each tender, ensuring all deadlines are communicated effectively and met by the contributing team members.
  • Act as the single point of contact for all tender-related communications, efficiently managing the flow of information between internal teams (sales, technical, legal, finance) and the client.
  • Compile, edit, and format complex proposal documents, ensuring they are professionally presented, grammatically impeccable, and fully compliant with all tender requirements.
  • Author compelling, reusable content for proposals, including executive summaries, company overviews, and team biographies, tailoring messaging to align with client needs.
  • Coordinate the collection of all necessary supporting documentation, such as financial statements, insurance certificates, case studies, and staff CVs, ensuring they are current and relevant.
  • Manage the clarification question process, both by submitting questions to the procuring authority and by coordinating timely and accurate responses to questions received.
  • Conduct thorough quality assurance and compliance checks on the final proposal document to ensure every requirement in the tender specification has been addressed.
  • Oversee the final production and submission of the tender, whether through complex online portals or physical delivery, guaranteeing on-time delivery without exception.
  • Maintain and continuously improve a centralized content library or knowledge base of boilerplate text, case studies, project data sheets, and other reusable assets to increase bid efficiency.
  • Track all bid activity and outcomes, maintaining accurate records in our CRM system and producing regular reports on pipeline status, win/loss rates, and key performance indicators.
  • Facilitate post-submission debrief sessions and analyze client feedback on both won and lost bids to identify lessons learned and areas for continuous improvement.
  • Build and maintain strong working relationships with subject matter experts across the business, fostering a collaborative and responsive bid culture.
  • Ensure all proposal and presentation documents adhere strictly to company branding guidelines, maintaining a consistent and professional corporate image.
  • Support the sales and business development teams in the creation of pre-qualification questionnaires (PQQs) and other supporting sales collateral.
  • Liaise with external partners, subcontractors, or suppliers to gather required information and ensure their contributions are integrated seamlessly into the main proposal.
  • Stay informed about industry trends, competitor activity, and best practices in bid and proposal management to continually enhance our competitive positioning.
  • Manage multiple, often overlapping, tender deadlines in a high-pressure environment, effectively prioritizing tasks to manage workload and stakeholder expectations.

Secondary Functions

  • Support the sales and business development teams with ad-hoc reporting on bid pipeline, win/loss rates, and key market trends.
  • Contribute to the continuous improvement of the bid management process, tools, and the central knowledge library of reusable content.
  • Collaborate with marketing and technical teams to develop compelling case studies, testimonials, and other supporting collateral for future bids.
  • Participate in team meetings and strategy sessions, providing valuable insights from tender feedback to inform business development strategy.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced MS Office Proficiency: Expert-level skills in Microsoft Word for complex document formatting, as well as high proficiency in Excel, PowerPoint, and SharePoint for data management and presentation.
  • Document Design & Formatting: Experience with Adobe InDesign and Acrobat Pro to create visually engaging, professional, and easy-to-navigate proposal documents.
  • Bid Management Software: Familiarity with dedicated bid management platforms (e.g., RFPIO, Loopio, Sant) is highly advantageous for streamlining the process.
  • Procurement Portal Expertise: Proven experience navigating and making submissions through various government and private e-tendering systems and online portals.
  • CRM System Usage: Competency in using CRM systems like Salesforce or HubSpot to track bid opportunities and report on the sales pipeline.

Education & Experience

Educational Background

Minimum Education:

Bachelor's degree or equivalent practical experience in a relevant field.
