Core Responsibilities
Primary Functions
- Assist the senior production team in managing the complete product lifecycle, from initial tech pack hand-off to ex-factory shipment.
- Maintain constant and clear daily communication with overseas vendors, factories, and mills to monitor production status, troubleshoot issues, and ensure adherence to deadlines.
- Diligently update and manage Work-in-Progress (WIP) reports and other tracking documents to provide real-time visibility on all production orders.
- Create, manage, and meticulously follow up on the Time & Action (T&A) calendar for all styles, ensuring key development and production milestones are met on schedule.
- Receive, organize, log, and prepare all incoming samples (proto, fit, pre-production, TOP) for review by technical design and merchandising teams.
- Review and measure Top of Production (TOP) samples against approved specifications and quality standards, documenting any discrepancies for factory communication.
- Assist in creating and issuing purchase orders (POs) for both finished goods and raw materials, ensuring all details like cost, quantity, and delivery dates are accurate.
- Help manage the submission and approval process for lab dips, strike-offs, and bulk fabric, ensuring color and quality consistency.
- Prepare and dispatch sample packages to vendors and internal teams, maintaining detailed records of all outgoing shipments.
- Support the logistics team by tracking inbound shipments and helping to reconcile packing lists against received goods.
- Maintain a highly organized physical and digital library of all approved fabrics, trims, and color standards for current and future seasons.
- Participate in production meetings, taking detailed notes and circulating follow-up action items to the relevant team members.
- Aid in the review of fabric and garment test reports to ensure all products meet compliance and safety standards.
- Assist in costing exercises by entering data and helping to analyze cost breakdowns from vendors.
- Communicate sample comments and revisions to factories clearly and effectively, often with visual aids, to prevent errors in bulk production.
- Help resolve minor production issues by investigating the root cause and proposing solutions to the Production Manager.
- Collaborate with the design and technical design teams to understand construction details and ensure they are clearly communicated to manufacturing partners.
- Support the sourcing team by researching potential new factories or material suppliers based on specific capabilities or sustainability criteria.
- Assist in preparing materials and garments for key milestone meetings, including line reviews and market presentations.
- Shadow senior production staff during factory visits or quality inspections (when possible) to gain firsthand knowledge of the manufacturing environment.
Secondary Functions
- Assist with the administrative tasks of the production department, such as filing, data entry, and organizing departmental resources.
- Support the quality control team by helping to inspect incoming bulk shipments for defects and adherence to quality benchmarks.
