Core Responsibilities

Primary Functions

  • Direct, mentor, and supervise a team of tool crib attendants, assigning daily tasks, managing schedules, and conducting performance evaluations to foster a high-performing team environment.
  • Oversee the entire lifecycle of tool and equipment inventory, from strategic sourcing and procurement to receiving, secure storage, active tracking, and timely disposal.
  • Implement, manage, and optimize a comprehensive tool tracking system (e.g., barcoding, RFID, software platforms) to ensure full accountability and minimize loss, theft, or damage.
  • Develop and enforce standardized check-in/check-out procedures for all tools and equipment, maintaining meticulous records of asset assignments to specific jobs, cost codes, and personnel.
  • Establish and manage a preventative maintenance schedule for all tools and equipment to ensure they remain in safe, reliable, and efficient working order, drastically reducing unexpected downtime.
  • Personally conduct or oversee the timely repair of broken or malfunctioning tools, diagnosing issues, sourcing replacement parts, and maintaining a log of all repair activities and associated costs.
  • Champion and enforce all safety protocols related to tool usage and storage, ensuring compliance with OSHA and company-specific regulations, and leading regular safety audits of the tool crib and equipment.
  • Act as the primary point of contact for field leadership (Foremen, Superintendents) to coordinate the logistical needs for tool and equipment delivery to and from various job sites.
  • Manage the departmental budget for tools, consumables, and repairs, actively tracking expenditures against forecasts and identifying opportunities for cost savings and operational efficiency.
  • Lead the procurement process for new tools, parts, and supplies, which includes identifying needs, researching products, negotiating with vendors, and processing purchase orders.
  • Conduct regular, systematic physical inventory counts and cycle counts, reconciling discrepancies with system records to maintain an exceptionally high level of inventory accuracy.
  • Maintain a clean, secure, and highly organized tool crib and storage area, implementing 5S or similar organizational principles to ensure efficiency and safety.
  • Train employees and new hires on the proper and safe operation of various hand tools, power tools, and small equipment, as well as on the established tool control procedures.

Secondary Functions

  • Generate and analyze detailed reports on key metrics such as tool utilization, repair costs, inventory turnover, and loss rates to inform strategic decision-making and process improvements.
  • Cultivate and maintain strong working relationships with a network of vendors and suppliers to ensure favorable pricing, reliable service, and access to new tooling technologies.

Required Skills & Competencies

Hard Skills (Technical)

  • Inventory Management Systems: Advanced proficiency in using tool tracking software (e.g., ToolHound, Hilti ON!Track, ShareMyToolbox) and enterprise resource planning (ERP) systems.
  • Mechanical & Electrical Aptitude: Strong, hands-on knowledge of tool and small equipment repair, including diagnostics for pneumatic, hydraulic, and electrical systems.
  • Procurement and Sourcing: Skill in sourcing tools and parts, evaluating quotes, and negotiating terms and pricing with vendors and suppliers.
  • Budget Management: Experience in creating, monitoring, and managing departmental budgets, including tracking expenses and forecasting needs.

Experience Requirements
