Core Responsibilities
Primary Functions
- Design, develop, and customize intricate and engaging tour itineraries for individuals, groups, and corporate clients based on their specific interests, budgets, and timeframes.
- Conduct in-depth research on various destinations, including accommodations, transportation options, local attractions, dining experiences, and cultural activities to ensure high-quality offerings.
- Negotiate contracts and competitive rates with a global network of vendors, including hotels, airlines, ground transportation providers, and local tour operators.
- Manage all booking and reservation logistics, including flights, hotels, transfers, tours, and travel insurance, ensuring accuracy and timely confirmations.
- Prepare detailed and comprehensive travel documents for clients, including final itineraries, vouchers, e-tickets, and essential pre-departure information.
- Serve as the primary point of contact for clients throughout the planning process, providing expert advice, answering queries, and managing expectations to build strong relationships.
- Develop and manage tour budgets, meticulously costing each component to ensure profitability while delivering exceptional value to the client.
- Handle and resolve any travel-related issues, emergencies, or complaints that may arise before or during a trip with professionalism and a solutions-oriented approach.
- Maintain up-to-date knowledge of international travel trends, visa regulations, health and safety advisories, and geopolitical situations that could impact travel.
- Collaborate with the sales team to create compelling tour proposals and presentations to attract and convert potential clients.
- Create engaging and accurate tour descriptions and content for use in marketing materials, websites, and social media platforms.
- Proactively seek and analyze client feedback post-travel to identify areas for improvement and continuously enhance the quality of tour products.
- Process client payments, manage invoicing, and assist with financial reconciliation for all managed bookings.
- Build and maintain strong, positive relationships with suppliers and partners worldwide to ensure preferential rates and service levels.
- Ensure all travel arrangements comply with industry regulations, company policies, and sustainability best practices.
