Primary Functions

  • Full-Cycle Budget Management: Develop, manage, and meticulously track the entire tour production budget, from initial estimates through to final reconciliation, ensuring all expenses are accounted for and the tour remains financially viable.
  • Strategic Itinerary Planning: Collaborate with artist management and booking agents to create a realistic and efficient tour schedule, considering travel times, routing, venue availability, and necessary days off to maintain crew and artist well-being.
  • Comprehensive Technical Advancing: Act as the primary technical contact for all venues, meticulously advancing the show's technical rider to ensure all power, rigging, staging, and local labor requirements are understood and met.
  • Vendor Sourcing and Negotiation: Research, select, and negotiate contracts with all third-party suppliers, including sound, lighting, video, backline, staging, trucking, and busing companies, to secure the best equipment and services within budget.
  • Logistics and Transportation Mastery: Oversee and coordinate all tour-related travel and freight, including booking crew and artist flights, arranging ground transportation, managing hotel accommodations, and handling international shipping logistics and carnets.
  • Crew Sourcing and Management: Recruit, hire, and manage the entire production crew, from technical specialists to stagehands, defining roles, managing schedules, and fostering a positive, professional, and collaborative on-the-road work environment.
  • On-Site Operations Command: Lead the on-site execution of all production elements, directing the load-in, setup, show run, and load-out processes with a focus on efficiency, safety, and timing.
  • Health, Safety, and Risk Management: Develop and enforce comprehensive safety protocols for all aspects of the production, including rigging, pyrotechnics, and electrical systems, ensuring compliance with local regulations and conducting risk assessments.
  • Creation of 'The Bible': Compile and maintain the master tour book or "bible," a central document containing all critical information such as contacts, schedules, venue details, travel itineraries, and emergency plans.
  • Daily Show Scheduling: Create and distribute detailed daily schedules (day sheets) that outline the plan for every show day, from crew arrival to bus departure, ensuring all departments are synchronized.
  • Interdepartmental Communication Hub: Serve as the primary point of communication, facilitating a seamless flow of information between the artist, tour manager, business manager, agent, record label, and all technical departments.
  • Problem-Solving and Crisis Management: Act as the first responder to any and all logistical, technical, or personnel issues that arise on the road, making swift, decisive, and effective decisions under pressure.
  • Financial Acumen and Reporting: Manage the tour float, handle per diems, and track on-the-road spending, providing regular, transparent financial reports and reconciliations to the business manager and artist management.
  • Venue and Promoter Relations: Build and maintain strong, professional relationships with local venue staff and promoters to ensure a smooth and cooperative working environment at every stop.
  • Post-Tour Reconciliation and Wrap-Up: Oversee the complete teardown of the tour, including the return of all rented equipment, final vendor payments, and the creation of a comprehensive post-tour report detailing financial outcomes and key learnings.
  • Advancement of Special Effects: Coordinate the safe and effective implementation of any special effects, such as pyrotechnics, lasers, or cryogenics, ensuring all permits and licensed technicians are in place.
  • Staging and Set Design Realization: Work closely with set designers and fabricators to translate creative concepts into a practical and tourable physical set, managing the build, transport, and assembly.
  • Management of Backline Equipment: Oversee the entire backline department, ensuring all artist instruments and gear are properly maintained, transported, and set up correctly for every performance.
  • Radio Frequency (RF) Coordination: Manage the complex world of wireless frequencies for microphones, in-ear monitors, and instrument packs, coordinating with local authorities to prevent interference.
  • Catering and Hospitality Oversight: Coordinate with the tour caterer or local venue catering to ensure the nutritional needs and hospitality requirements for the entire artist and crew party are met daily.
