Core Responsibilities

Primary Functions

  • Engage in in-depth consultations with clients via phone, email, and in-person meetings to thoroughly understand their travel aspirations, preferences, budget, and specific needs.
  • Leverage extensive geographical and destination knowledge to research, recommend, and curate personalized travel itineraries, including unique experiences and off-the-beaten-path suggestions.
  • Expertly navigate and utilize Global Distribution Systems (GDS) and other booking platforms to secure competitive rates for flights, accommodations, car rentals, and transfers.
  • Source and book a wide array of travel products, including all-inclusive packages, complex multi-stop tours, cruises, and travel insurance policies, ensuring they align with client expectations.
  • Prepare and present detailed, compelling travel proposals and quotes that clearly outline costs, inclusions, exclusions, and terms and conditions.
  • Process client payments securely and accurately, manage booking confirmations, and handle all financial documentation in compliance with company and industry standards.
  • Proactively advise clients on essential travel documentation, such as passport validity, visa requirements, and necessary immunizations for their chosen destinations.
  • Build and nurture strong, long-term relationships with clients through exceptional service, proactive communication, and post-travel follow-up to encourage loyalty and referrals.
  • Act as the client's advocate and primary point of contact before, during, and after their trip, providing support and resolving any issues that may arise, such as flight cancellations or booking discrepancies.
  • Maintain meticulous records of client preferences, travel history, and interactions within the company's CRM system to personalize future recommendations and communications.
  • Stay continuously updated on international travel advisories, health and safety protocols, and any geopolitical events that could impact client travel plans.
  • Develop and maintain strong working relationships with travel suppliers, including airlines, hotels, and tour operators, to negotiate favorable terms and gain access to exclusive offers.
  • Actively pursue sales opportunities by up-selling and cross-selling travel products and services, such as travel insurance, guided tours, and room upgrades, to enhance the client's experience and meet sales targets.
  • Create and manage complex itineraries for groups, including coordinating logistics for multiple travelers with varying needs and departure points.
  • Provide clients with comprehensive pre-departure packets, including tickets, vouchers, detailed itineraries, and essential contact information for a seamless journey.

Secondary Functions

  • Continuously expand professional knowledge by attending industry trade shows, supplier training sessions, destination webinars, and participating in familiarization trips (FAM trips).
  • Assist the marketing team by providing insights on travel trends and popular destinations, and occasionally contributing to social media content or blog posts to showcase expertise.
  • Monitor and analyze competitor offerings and pricing strategies to ensure the agency remains competitive and provides excellent value to its clients.
  • Systematically gather and review client feedback and testimonials to identify areas for service improvement and to use as positive marketing collateral.
  • Handle administrative duties such as processing supplier invoices, managing commission tracking, and ensuring all booking files are complete and compliant with agency policies.

Required Skills & Competencies

Hard Skills (Technical)

  • GDS Proficiency: Expertise in using at least one major Global Distribution System (GDS) such as Sabre, Amadeus, Apollo, or Galileo for booking flights, hotels, and car rentals.
  • Destination & Supplier Knowledge: Extensive knowledge of major international and domestic travel destinations, including geography, culture, attractions, and local customs, as well as a strong understanding of key travel suppliers.
  • CRM & Booking Software: Competency in using Customer Relationship Management (CRM) software for client management and familiarity with various online booking engines and supplier portals.
  • Itinerary Planning & Quoting: Ability to construct complex, multi-component travel itineraries and create clear, accurate, and professional-looking quotes and travel documents.
  • Regulatory Compliance: Solid understanding of travel industry regulations, including visa/passport rules, travel insurance intricacies, and IATA (International Air Transport Association) standards.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range: 1-5 years of experience in a sales, customer service, or hospitality role.
