Core Responsibilities

Primary Functions

  • Design, develop, and customize comprehensive and engaging travel itineraries based on specific client needs, interests, budget constraints, and desired experiences.
  • Serve as the primary liaison and dedicated point of contact for clients, providing expert advice, answering inquiries, and guiding them through the entire booking and travel process.
  • Manage all logistical components of individual and group tours, including booking flights, ground transportation, accommodations, and entry tickets for attractions.
  • Cultivate and maintain strong professional relationships with a global network of vendors, including hotels, tour operators, and local guides, to negotiate favorable rates and secure premium services.
  • Prepare, verify, and distribute detailed pre-departure documentation for travelers, including itineraries, contact lists, travel vouchers, and essential destination information.
  • Provide real-time, on-call support to travelers during their trip, proactively addressing and resolving any issues, emergencies, or last-minute changes with efficiency and professionalism.
  • Meticulously manage tour budgets, track all expenses, process invoices and client payments, and perform financial reconciliation to ensure profitability.
  • Actively solicit, collect, and analyze post-trip feedback from clients to measure satisfaction, identify areas for improvement, and enhance future tour offerings.
  • Maintain and update the company's CRM and booking systems with precise and current information regarding client details, trip status, and vendor data.
  • Ensure all travel arrangements and itineraries strictly adhere to company policies, industry best practices, and international safety and compliance standards.
  • Conduct in-depth research on new destinations, travel trends, and unique local experiences to contribute to the innovation and development of new tour packages.
  • Collaborate with the marketing and sales teams by providing detailed product knowledge and compelling content for brochures, websites, and promotional campaigns.
  • Conduct comprehensive pre-tour briefings for on-the-ground staff, such as tour guides and drivers, to ensure a seamless and coordinated execution of the planned itinerary.
  • Coordinate and manage special requests from clients, including dietary restrictions, accessibility requirements, surprise celebrations, and other personalized arrangements.
  • Monitor global travel advisories, geopolitical situations, and weather forecasts that could impact travel, and communicate necessary adjustments to all stakeholders promptly.
  • Develop and implement risk assessment protocols and emergency response plans for all tours to ensure the safety and well-being of our travelers.
  • Skillfully upsell optional excursions, room upgrades, and other value-added services to enhance the customer experience and achieve revenue targets.
  • Create detailed operational reports, key performance indicator (KPI) dashboards, and post-tour analyses for review by senior management.
  • Handle the complex logistics of group travel, including rooming lists, transportation manifests, and coordinated activity schedules.
  • Process and manage travel insurance inquiries and assist clients with the claims process when necessary to provide end-to-end support.

Secondary Functions

  • Support ad-hoc data requests and exploratory analysis on booking trends, customer demographics, and destination popularity.
  • Contribute to the organization's travel product strategy and operational roadmap by providing insights from the front lines.
  • Collaborate with business units to translate customer desires and market trends into tangible tour features and logistical requirements.
  • Participate in sprint planning and agile ceremonies within the operations team to continuously improve processes and systems.

Required Skills & Competencies

Hard Skills (Technical)

  • Booking & GDS Platforms: Proficiency in travel booking software (e.g., Tourplan, TrekkSoft) and familiarity with Global Distribution Systems (GDS) like Amadeus or Sabre is highly desirable.
  • MS Office Suite: Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook) for creating itineraries, managing budgets, and communicating with stakeholders.
  • CRM Software: Experience using Customer Relationship Management (CRM) systems (e.g., Salesforce, Zoho) to manage client data and communication pipelines.
  • Geographical Knowledge: Extensive knowledge of world geography, key tourist destinations, cultural norms, and travel logistics.
