Core Responsibilities

Primary Functions

  • Lead, mentor, and manage a diverse team of in-house and freelance transcribers, fostering a collaborative and high-performance culture.
  • Conduct regular performance evaluations, provide constructive feedback, and develop professional growth plans for team members.
  • Design, implement, and continuously refine a rigorous quality assurance (QA) program to ensure all transcripts meet stringent accuracy and formatting standards.
  • Develop and maintain comprehensive transcription style guides, glossaries, and training materials to ensure consistency across all projects.
  • Oversee the end-to-end transcription workflow, from audio/video file intake and assignment to final delivery, ensuring all deadlines are met.
  • Manage resource allocation and team capacity, effectively balancing workloads and project priorities to maximize efficiency and prevent burnout.
  • Act as the primary point of contact for escalations related to transcription quality, turnaround times, or complex project requirements.
  • Recruit, vet, and onboard new transcriptionists and editors, ensuring the team is adequately staffed to meet fluctuating client demands.
  • Monitor and report on key performance indicators (KPIs), including transcriber productivity, quality scores, on-time delivery rates, and cost-per-minute.
  • Evaluate, implement, and manage transcription technologies, including AI-powered speech-to-text platforms and transcription software, to enhance productivity and accuracy.
  • Collaborate closely with project managers and client success teams to understand project specifications, clarify ambiguities, and ensure client expectations are exceeded.
  • Develop and manage the transcription department's budget, tracking expenses and identifying opportunities for cost optimization without compromising quality.
  • Ensure strict adherence to data security and confidentiality protocols, especially when handling sensitive information (e.g., PII, HIPAA, legal proceedings).
  • Create and deliver robust training programs for new hires and ongoing skill-development workshops for the existing team.
  • Troubleshoot and resolve any technical or logistical issues that impede the transcription workflow, coordinating with IT or software vendors as needed.
  • Stay abreast of industry trends, best practices, and emerging technologies in the transcription and language services space to drive continuous improvement.
  • Manage vendor relationships with freelance platforms or third-party transcription services, negotiating rates and ensuring their output meets our quality standards.
  • Lead initiatives to scale transcription operations, developing strategies to support business growth and expansion into new markets or service lines.
  • Analyze difficult or poor-quality audio files to provide guidance and support to the transcription team, setting realistic expectations with stakeholders.
  • Prepare detailed project status reports and performance summaries for senior management, providing insights and strategic recommendations.
  • Champion a culture of quality and accountability within the team, motivating individuals to take pride and ownership in their work.

  • Quality Assurance Methodologies: Proven ability to design and execute effective QA processes, including sampling, scoring rubrics, and feedback loops.
  • Transcription Software Expertise: Proficiency with professional transcription software (e.g., Express Scribe, InqScribe) and platforms (e.g., Trint, Rev, Otter.ai).
