Core Responsibilities

Primary Functions

  • Transcribe complex multi-speaker audio and video recordings with an exceptionally high degree of accuracy, ensuring verbatim or intelligent verbatim output as required by project specifications.
  • Listen to and interpret diverse and often challenging audio content, including legal depositions, medical dictations, academic research interviews, and corporate meetings, which may feature poor audio quality or heavy accents.
  • Meticulously review, edit, and proofread transcribed documents against the original audio source to guarantee exceptional quality, correcting any errors in spelling, grammar, punctuation, and syntax.
  • Adhere strictly to client-specific style guides, complex formatting requirements, and established templates to ensure consistency and successful delivery of all project deliverables.
  • Independently research and verify the correct spelling of specialized terminology, including medical, legal, financial, and technical terms, as well as the names of people, places, and organizations.
  • Efficiently manage a personal queue of transcription assignments, prioritizing tasks effectively to consistently meet tight deadlines and demanding turnaround time expectations.
  • Utilize specialized transcription software (like Express Scribe), foot pedals, and other industry-standard tools to efficiently control audio playback and streamline the transcription workflow.
  • Identify and accurately flag inaudible, ambiguous, or unclear sections of audio with precise timestamps for client review or further clarification.
  • Maintain absolute confidentiality and security of all client information and sensitive data, strictly adhering to company policies and legal compliance standards such as HIPAA and GDPR.
  • Communicate proactively and clearly with team leads and project managers regarding project status, potential delays, or any questions about audio content or specifications.
  • Perform rigorous quality assurance (QA) checks on transcripts completed by other team members, providing clear and constructive feedback to improve overall team accuracy and performance.
  • Accurately log work hours, project details, and production metrics into time-tracking and project management systems for billing and performance analysis.
  • Transcribe and format legal proceedings, including court hearings, depositions, and witness statements, with meticulous attention to established legal formatting standards.
  • Convert physician dictations, clinical notes, patient histories, and other medical reports into accurately formatted documents for integration into Electronic Health Records (EHR).
  • Troubleshoot basic technical issues related to transcription software, audio file compatibility, and playback equipment to maintain workflow continuity.
  • Stay current with industry best practices, new transcription technologies, and evolving terminology within your specialized field (e.g., medicine, law, finance).
  • Handle sensitive and confidential information with the utmost discretion and integrity, signing and adhering to non-disclosure agreements (NDAs) as required.
  • Format final documents according to detailed guidelines, including the correct insertion of timestamps, speaker identification, paragraph breaks, and other specified elements.
  • Participate actively in ongoing training and professional development programs to enhance transcription skills and deepen knowledge of specific subject matters.
  • Collaborate with the quality control team to understand feedback and consistently elevate the quality and accuracy of your transcribed output.

Secondary Functions

  • Support ad-hoc transcription and editing requests from various internal departments as needed.
  • Contribute to the continuous improvement of transcription style guides, shared glossaries, and quality assurance processes.
  • Collaborate with project managers and clients to clarify project specifications, resolve audio issues, and confirm formatting requirements.
  • Participate in team meetings and training sessions to ensure alignment with evolving quality standards and project goals.

Required Skills & Competencies

Hard Skills (Technical)

  • Typing Speed & Accuracy: A minimum typing speed of 65-70 words per minute (WPM) with near-perfect accuracy is essential.
  • Transcription Software Proficiency: Expertise in using professional transcription software such as Express Scribe, FTW Transcriber, or similar platforms.
  • Audio Equipment Operation: Skilled in the use of transcription foot pedals for efficient audio control.
  • Superior Grammar & Punctuation: An expert-level command of the English language, including complex grammar, spelling, and punctuation rules.
  • MS Office / Google Workspace: High proficiency in Microsoft Word and/or Google Docs for formatting and finalizing documents.
  • Specialized Terminology: Knowledge of medical, legal, or other industry-specific terminology is often required and highly valued.
  • Research Skills: Ability to quickly and accurately research unfamiliar terms, names, and acronyms using online resources.
  • File Management: Competency in handling various audio and video file formats (MP3, WAV, MP4, etc.).

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent.

Preferred Education:

  • Certification from a recognized transcription association (e.g., AHDI for medical transcription).
