Core Responsibilities

Primary Functions

  • Listen to and transcribe a wide range of audio and video recordings, including interviews, legal proceedings, medical dictations, corporate meetings, and academic lectures with an exceptional degree of accuracy.
  • Meticulously proofread and edit transcribed documents to ensure they are free of spelling, grammar, punctuation, and syntax errors, delivering a polished final product.
  • Convert spoken language from audio files into well-structured and grammatically correct written text, adhering to either verbatim or clean-read transcription styles as required.
  • Manage a high volume of audio files, effectively organizing and prioritizing assignments to consistently meet strict client deadlines and project turnaround times.
  • Accurately identify and label multiple speakers within a recording using standardized notation or client-specific guidelines to ensure clarity in the final transcript.
  • Conduct independent research on complex terminology, industry-specific jargon, names, and acronyms to guarantee transcription accuracy, particularly for technical, legal, or medical content.
  • Adhere to stringent confidentiality agreements and data security protocols (such as HIPAA for medical content) to protect sensitive client information at all times.
  • Precisely follow client-specific formatting instructions, templates, and style guides to ensure a consistent and professional final document.
  • Communicate proactively with project managers or clients to clarify inaudible or ambiguous sections of audio, ensuring the highest possible accuracy.
  • Insert accurate timestamps at specified intervals or significant points in the audio/video to facilitate easy reference and synchronization.
  • Transcribe verbatim content with precision, capturing every utterance including filler words (um, uh), false starts, and stutters when required for legal or research purposes.
  • Perform clean-read (intelligent verbatim) transcription by editing for readability, removing filler words, and correcting minor grammatical errors while preserving the original meaning and intent.
  • Prepare and format final transcripts for delivery in various file types (e.g., .docx, .txt, .srt) as specified by the project requirements.
  • Interpret and transcribe content from speakers with diverse accents, dialects, and speech patterns, maintaining a high level of comprehension and accuracy.
  • Utilize specialized transcription software, foot pedals, and professional-grade headsets to maximize efficiency, speed, and accuracy.

Secondary Functions

  • Review and score the work of other transcriptionists as part of a quality assurance process to ensure it meets our rigorous standards.
  • Contribute to the development and maintenance of internal terminology glossaries, style guides, and best practice documentation.
  • Provide constructive feedback on transcription software and workflow tools to help improve overall team efficiency and platform usability.
  • Assist in training and mentoring new transcriptionists on company-specific platforms, style guides, and quality expectations.
  • Maintain detailed logs of completed assignments, tracking audio duration, word counts, and time spent for accurate project reporting and billing.

Required Skills & Competencies

Hard Skills (Technical)

  • Exceptional Typing Speed (minimum 75 WPM) with high accuracy.
  • Proficiency with transcription software (e.g., Express Scribe, oTranscribe, InqScribe) and word-processing programs (Microsoft Word, Google Docs).
  • Deep understanding of English grammar, punctuation, and syntax.
  • Ability to operate transcription hardware, including foot pedals and professional headsets.
  • Knowledge of specialized terminology (e.g., medical, legal, financial) is a significant asset.

Educational Background

Minimum Education:
