Core Responsibilities

Primary Functions

  • Execute the end-to-end processing of client asset and cash transfers, including ISAs, SIPPs, and General Investment Accounts, ensuring precision and adherence to deadlines.
  • Manage the full transfer lifecycle, from correctly initiating the request on various systems to chasing counterparties and ensuring timely settlement and reconciliation.
  • Serve as the primary point of contact for resolving complex transfer-related inquiries from internal teams, financial advisers, and end-clients, providing clear and concise updates.
  • Proactively liaise with third-party administrators, custodians, and fund managers to facilitate the smooth re-registration and movement of assets.
  • Conduct thorough investigation and resolution of any discrepancies, exceptions, or breaks that occur during the transfer process, ensuring a complete audit trail.
  • Meticulously review and verify all transfer-related documentation for accuracy, completeness, and compliance with internal policies and regulatory requirements.
  • Ensure all transfer activities are performed in strict compliance with FCA regulations, particularly CASS (Client Assets Sourcebook) rules, to mitigate risk.
  • Maintain highly accurate and up-to-date records of all transfer activities within the company’s core systems and client relationship management (CRM) software.
  • Process both electronic transfers via platforms such as Origo and Altus, as well as manual transfers, demonstrating flexibility across different methods.
  • Monitor a shared inbox and workflows to effectively manage, prioritize, and allocate incoming transfer requests and correspondence.
  • Calculate and apply any associated exit penalties or transfer charges accurately, ensuring clear communication with the client or their advisor.
  • Actively chase outstanding documentation and information from clients and third parties to prevent delays and ensure adherence to Service Level Agreements (SLAs).
  • Generate and contribute to Management Information (MI) reports, providing key data on transfer volumes, processing times, and team performance.
  • Identify systemic issues or areas for process improvement within the transfers function and proactively suggest and help implement effective solutions.
  • Perform quality assurance checks on the work of peers to ensure high standards of accuracy and compliance across the team.
  • Manage the stock reconciliation process post-transfer, ensuring client portfolios accurately reflect the settled assets.
  • Handle corporate action events (e.g., dividends, mergers) that may affect assets in transit, ensuring correct allocation and client entitlement.
  • Escalate high-risk, high-value, or politically sensitive cases to management in a timely manner with a clear summary of the situation.
  • Collaborate closely with wealth managers and client relationship teams to provide a seamless and integrated client service experience.
  • Participate in firm-wide projects related to system enhancements, regulatory changes, or new product launches that impact the transfers process.

Secondary Functions

  • Assist in the creation, review, and regular updating of the team's procedural and policy documentation.
  • Participate in User Acceptance Testing (UAT) for system upgrades or new technology platforms affecting operational workflows.
  • Provide support to the compliance and audit departments during internal reviews and external regulatory examinations.
  • Contribute to the training and mentoring of new or junior members of the operations team, sharing expert knowledge of transfer processes.

Required Skills & Competencies

Hard Skills (Technical)

  • In-depth knowledge of investment wrappers, including ISA, SIPP, GIA, and Offshore Bonds.
  • Strong understanding of the asset transfer lifecycle, including in-specie and cash transfers.
  • Proficiency with electronic transfer platforms (e.g., Origo Options, Altus Transfer Gateway, TeX).
  • Demonstrable knowledge of FCA regulations, specifically CASS 6 (Custody Rules) and CASS 7 (Client Money Rules).
  • Experience working with major wealth management platforms, custodian systems, or transfer agency software.
  • Advanced proficiency in Microsoft Excel, including VLOOKUPs, pivot tables, and data manipulation.
  • Understanding of a wide range of asset classes, such as equities, fixed income, OEICs, and unit trusts.
  • Competence in reconciling stock and cash positions to identify and resolve breaks.
  • Familiarity with SWIFT messaging standards related to settlements and transfers is a plus.
  • Experience in producing and interpreting operational Management Information (MI).
