Core Responsibilities

Primary Functions

  • Project Scoping and Initiation: Receive, evaluate, and prepare incoming translation requests from internal stakeholders or external clients, ensuring all necessary files and instructions are present.
  • Resource Allocation and Scheduling: Identify, assign, and coordinate with a global pool of freelance translators, editors, and proofreaders based on language pair, subject matter expertise, and availability.
  • Project Lifecycle Management: Create and meticulously track project schedules and workflows within a Translation Management System (TMS), monitoring progress against key milestones and deadlines.
  • Financial Administration: Generate purchase orders for linguistic vendors, process invoices accurately, and assist project managers in tracking project costs to maintain budget alignment.
  • File and Asset Management: Prepare and organize project files for linguists, ensuring they have access to the correct source materials, translation memories (TMs), and term bases (TBs).
  • Stakeholder Communication: Serve as the primary point of contact for freelance linguists, promptly and clearly answering their queries regarding project instructions, deadlines, and tools.
  • Quality Assurance Triage: Perform initial quality control checks on translated files to ensure completeness, correct formatting, and adherence to basic project instructions before formal review.
  • System and Tool Management: Maintain the integrity of our Translation Management System (TMS) by updating project statuses, managing user profiles, and troubleshooting basic technical issues for linguists.
  • Client Delivery Preparation: Finalize and package translated files for delivery to the client or project manager, ensuring all components are included and file naming conventions are met.
  • Vendor Relationship Management: Cultivate and maintain positive, professional relationships with our freelance linguist community to foster loyalty and ensure a reliable talent pool.
  • Schedule and Deadline Negotiation: Proactively communicate any potential risks or delays to the Project Manager and work with linguists to negotiate extensions or solutions when necessary.
  • Process Documentation: Assist in documenting and refining standard operating procedures (SOPs) for the translation workflow to improve efficiency and consistency.
  • Feedback Loop Coordination: Collect and consolidate feedback from quality assurance steps and client reviews, and relay it constructively to the linguistic team for continuous improvement.
  • Translation Memory (TM) Maintenance: Perform regular maintenance on translation memories, including alignment of legacy content and clean-up, to ensure linguistic assets remain valuable.

Secondary Functions

  • Reporting and Analysis: Generate and distribute regular reports on project volume, on-time delivery rates, vendor costs, and quality metrics to support team and business objectives.
  • Vendor Onboarding and Vetting: Assist the Vendor Manager in the onboarding process for new freelance linguists, including system setup, training, and collection of necessary documentation.
  • Tool and Technology Support: Provide first-line support to both internal team members and external vendors on the use of CAT tools, the TMS, and other localization-specific software.
  • Post-Project Archiving: Methodically archive completed project materials, including final deliverables, source files, and communications, for future reference and auditing.
  • Inter-departmental Liaison: Collaborate with teams such as marketing, legal, and product development to understand their localization needs and provide guidance on best practices for content creation.
  • Cost Tracking and Quoting Support: Assist Project Managers by gathering quotes from vendors and inputting cost data to help create accurate and competitive project estimates for clients.

Required Skills & Competencies

Hard Skills (Technical)

  • Translation Management Systems (TMS): Hands-on proficiency with industry-standard TMS platforms such as Plunet, XTRF, WorldServer, or similar systems for project creation and tracking.
  • CAT Tool Familiarity: A strong working knowledge of Computer-Assisted Translation (CAT) tools like SDL Trados Studio, MemoQ, or Memsource/Phrase, understanding their basic functions for file preparation and troubleshooting.
  • Microsoft Office Suite Expertise: Advanced proficiency in Microsoft Excel for tracking finances and creating reports, as well as Word and PowerPoint for handling various file formats.
  • File Management: Solid understanding of different file types (e.g., .idml, .xml, .html, .srt) and the ability to manage complex folder structures and versions with precision.
  • Financial Acumen: Comfort with handling purchase orders, invoices, and basic budget tracking principles.
