Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for a designated group of drivers, providing clear and concise instructions, route guidance, and operational support throughout their shifts.
  • Efficiently plan, schedule, and assign driver loads using Transportation Management Systems (TMS) and other dispatch software, considering factors like driver hours-of-service (HOS), equipment availability, delivery windows, and geographic location.
  • Continuously monitor the real-time status and location of all active shipments via GPS tracking systems, proactively identifying potential delays due to traffic, weather, or mechanical issues.
  • Develop and implement contingency plans to address unforeseen challenges, re-routing drivers and re-sequencing deliveries as needed to mitigate delays and meet customer expectations.
  • Maintain constant and professional communication with customers, providing timely updates on shipment status, estimated arrival times (ETAs), and any service disruptions.
  • Ensure strict compliance with all Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and other applicable state and federal regulations.
  • Meticulously monitor driver electronic logging device (ELD) records and HOS to prevent violations and ensure driver safety and legal compliance.
  • Manage and confirm pickup and delivery appointments, coordinating with shippers and receivers to ensure smooth transitions at loading and unloading facilities.
  • Troubleshoot and resolve any issues drivers may encounter on the road, including mechanical problems, documentation discrepancies, or on-site delays at customer locations.
  • Accurately enter and update load information, driver activities, and status changes into the TMS, maintaining a precise and up-to-date record of all dispatching activities.
  • Build and maintain strong, positive relationships with drivers, fostering a supportive environment that promotes safety, efficiency, and driver retention.
  • Review and verify all shipping documentation (Bills of Lading, Proof of Delivery, etc.) for accuracy and completeness upon trip completion.
  • Coordinate with the maintenance department to schedule routine preventative maintenance and necessary repairs for tractors and trailers to minimize downtime.
  • Handle after-hours calls and emergency situations on a rotational or as-needed basis to provide 24/7 operational support.
  • Analyze key performance indicators (KPIs) such as on-time performance, deadhead miles, and fuel efficiency to identify areas for operational improvement.

Secondary Functions

  • Assist in negotiating freight rates with brokers and customers to ensure profitability on loads.
  • Collaborate with the sales and customer service teams to understand new customer requirements and ensure operational feasibility.
  • Participate in driver orientation and training sessions, providing insight into dispatch procedures and company expectations.
  • Contribute to the evaluation and selection of new logistics technology, including TMS, ELD, and routing software.
  • Support the safety department by collecting information for incident reports and reinforcing safety protocols with drivers.
  • Assist the billing department by ensuring all necessary paperwork for invoicing is completed and submitted correctly.
  • Generate and analyze daily, weekly, and monthly reports on fleet performance, driver productivity, and other operational metrics for management review.

Required Skills & Competencies

Hard Skills (Technical)

  • Transportation Management Systems (TMS): Deep proficiency in using TMS platforms such as McLeod, TMW Suite, MercuryGate, or similar proprietary software for dispatching and load management.
  • DOT & FMCSA Regulations: Strong working knowledge of federal transportation regulations, particularly Hours-of-Service (HOS), ELD mandates, and weight/size restrictions.
  • Route Planning & Optimization: Skill in using mapping and routing software (e.g., Google Maps, PC*MILER, Rand McNally) to plan the most efficient and cost-effective routes.
  • Geographical Acumen: Extensive knowledge of major highways, transportation corridors, and potential traffic chokepoints across North America or the relevant operational region.
