Core Responsibilities

Primary Functions

  • Research, plan, and execute complex domestic and international travel arrangements, including flights, hotels, car rentals, and rail transport for individuals and groups.
  • Prepare and distribute comprehensive and detailed travel itineraries, including all confirmation numbers, schedules, contact information, and logistical details.
  • Manage and process visa and passport applications, ensuring all required documentation is complete, accurate, and submitted within required timelines.
  • Actively monitor traveler location and global events, providing proactive support and communication during travel disruptions, delays, or emergencies.
  • Negotiate with vendors, including hotels and transport services, to secure preferential rates, group discounts, and value-added amenities.
  • Ensure all travel bookings adhere strictly to the company's corporate travel policy, providing guidance to employees on policy compliance.
  • Maintain and update traveler profiles with essential information such as passport details, frequent flyer numbers, and seating preferences.
  • Serve as the primary point of contact for travelers, addressing inquiries, resolving issues, and handling last-minute changes or cancellations efficiently.
  • Reconcile and process travel and expense reports using expense management software, ensuring accuracy and proper coding of expenditures.
  • Build and maintain strong professional relationships with travel agencies, airline representatives, and other external travel partners.
  • Arrange complex ground transportation logistics, including airport transfers, private car services, and coordination for multi-stop trips.
  • Conduct thorough research on destinations to provide travelers with relevant information on local customs, safety advisories, and entry requirements.
  • Assist in managing corporate travel credit card programs, including statement reconciliation and tracking unassigned charges.
  • Generate and analyze travel data reports to identify trends, track spending against budget, and recommend cost-saving opportunities.
  • Provide out-of-hours and on-call emergency support for travelers experiencing urgent issues or unexpected changes.
  • Coordinate meeting spaces, conference room bookings, and catering as part of comprehensive travel and event planning.
  • Maintain meticulous records of all travel bookings, expenditures, and communications for auditing and reporting purposes.
  • Proactively identify opportunities to improve the travel booking process, enhance the traveler experience, and increase operational efficiency.
  • Assist with the planning and coordination of company off-sites, team meetings, and corporate events that involve travel.
  • Manage memberships and loyalty programs (airline, hotel, car rental) to maximize benefits and cost-effectiveness for the company and its travelers.

Secondary Functions

  • Support the administrative team with ad-hoc projects and overflow tasks as needed.
  • Assist in the onboarding of new employees by explaining company travel policies and booking procedures.
  • Maintain an organized database of preferred vendors, negotiated rates, and service-level agreements.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Global Distribution Systems (GDS) such as Sabre, Amadeus, or Galileo.
  • Extensive experience with corporate online booking tools (OBTs) like SAP Concur, Egencia, or TripActions.
  • Strong command of the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) for creating itineraries and reports.
  • Expertise in managing and processing expense reports through platforms like Concur Expense, Expensify, or similar software.
  • Deep knowledge of international travel regulations, including visa requirements, passport validity rules, and customs procedures.
  • Familiarity with geography, time zones, and major international airline hubs and routes.

Educational Background
