Core Responsibilities

Primary Functions

  • Engage in in-depth consultations with clients to understand their unique travel needs, preferences, budget constraints, and desired experiences.
  • Expertly research, evaluate, and recommend various destinations, travel modes, accommodation options, and ancillary travel services.
  • Design, create, and present customized, detailed travel itineraries and proposals that inspire clients and align with their requirements.
  • Proficiently navigate and utilize Global Distribution Systems (GDS) such as Sabre, Amadeus, or Galileo to book flights, hotels, and car rentals.
  • Meticulously manage the entire booking process, ensuring accuracy in all reservations, from airfare and cruises to ground transportation and tour packages.
  • Cultivate and maintain strong, professional relationships with travel suppliers, including airlines, hotels, and tour operators, to negotiate favorable rates and secure amenities for clients.
  • Advise clients on essential travel documentation, including passports, visas, and required immunizations, ensuring they are fully prepared for international travel.
  • Provide comprehensive pre-travel guidance, including destination-specific advice, cultural etiquette, and safety information.
  • Proactively manage and process booking modifications, cancellations, and schedule changes, communicating clearly with clients and suppliers to find solutions.
  • Act as a primary point of contact for clients during their travels, providing on-trip support and swift resolution for any issues or emergencies that may arise.
  • Identify opportunities to upsell and cross-sell relevant travel products, such as travel insurance, guided tours, and premium cabin upgrades, to enhance the client's journey and meet sales goals.
  • Diligently follow up with clients post-travel to gather feedback, address any concerns, and foster a long-term relationship to encourage repeat business and referrals.
  • Stay consistently informed on international travel trends, new destinations, airline and hotel promotions, and global travel advisories to provide current and knowledgeable advice.
  • Process client payments, prepare detailed invoices, and ensure all financial transactions are handled accurately and securely in compliance with company policies.
  • Build and maintain a robust client database or portfolio using CRM software, tracking preferences, travel history, and key personal dates to personalize future interactions.
  • Work towards and achieve individual and team-based sales targets and key performance indicators (KPIs) set by the agency.
  • Resolve client complaints and travel-related problems with empathy, professionalism, and a focus on finding a satisfactory resolution.
  • Develop specialized knowledge in specific travel niches, such as luxury, adventure, corporate, or destination-specific travel, to position oneself as an expert.
  • Prepare and manage all necessary travel documents for clients, organizing them into a clear and accessible package for their trip.
  • Ensure all bookings and client recommendations adhere to relevant regulations, industry standards, and, in the case of corporate travel, client travel policies.

Secondary Functions

  • Support corporate account managers with ad-hoc reporting on travel spend, booking patterns, and policy compliance.
  • Contribute to the agency's marketing efforts by providing content for newsletters, social media, or blog posts about travel tips and destinations.
  • Collaborate with the product team to evaluate and recommend new suppliers or travel packages for the agency's portfolio.
  • Participate actively in team meetings, supplier training sessions, and industry familiarization trips to continually enhance product and destination knowledge.

Required Skills & Competencies

Hard Skills (Technical)

  • GDS Proficiency: Expertise in at least one major Global Distribution System (Sabre, Amadeus, Galileo, Worldspan) for booking air, car, and hotel.
  • CRM Software: Competency in using Customer Relationship Management (CRM) systems to manage client data and sales pipelines.
  • Destination Knowledge: Extensive geographical and cultural knowledge of popular and niche international travel destinations.
  • Booking Platforms: Familiarity with various supplier websites, cruise line booking engines, and online travel agent portals.
  • Microsoft Office Suite: Proficiency in Word, Excel, and Outlook for creating itineraries, tracking sales, and communicating with clients.
  • Financial Acumen: Ability to handle invoicing, process payments, and understand commission structures and pricing models.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent is required. A travel and tourism certificate is a strong asset.

Experience Requirements

Typical Experience Range: 2-5 years of direct experience in a travel agency, tour operator, or a similar role within the travel industry.
