Core Responsibilities

Primary Functions

  • Consult extensively with clients via phone, email, and in-person meetings to meticulously understand their travel objectives, preferences, interests, and budgetary constraints.
  • Design, research, and construct highly customized, detailed travel itineraries, encompassing flights, accommodations, ground transportation, tours, and unique activities.
  • Utilize Global Distribution Systems (GDS) such as Sabre, Amadeus, or Worldspan with high proficiency to book and manage complex air, car, and hotel reservations.
  • Advise clients comprehensively on essential travel documentation, including passport validity, visa requirements, entry protocols, and necessary immunizations for international destinations.
  • Manage the entire booking and payment lifecycle, from securing reservations and processing deposits to handling final payments and ensuring financial accuracy.
  • Act as the primary, on-call point of contact for clients during their travels, providing real-time support to resolve any issues, manage emergencies, or facilitate itinerary changes.
  • Cultivate and maintain robust professional relationships with a global network of suppliers, including airlines, hotels, cruise lines, and tour operators, to secure competitive pricing and exclusive amenities.
  • Proactively stay abreast of emerging travel trends, new destination hotspots, hotel openings, airline routes, and evolving international travel regulations to provide cutting-edge advice.
  • Negotiate effectively with vendors and suppliers on behalf of clients to obtain optimal rates, added-value benefits (like upgrades or resort credits), and favorable terms.
  • Handle all travel modifications, including cancellations, re-bookings, and schedule changes, with efficiency and clear communication to minimize client disruption.
  • Prepare and present compelling, professional travel proposals and quotes that clearly outline options, costs, and inclusions, tailored to the client's vision.
  • Maintain meticulous and organized records of all client interactions, travel preferences, booking details, and payment histories within a Customer Relationship Management (CRM) system.
  • Create and curate one-of-a-kind travel experiences, such as arranging private guided tours, securing access to exclusive events, or making reservations at highly sought-after restaurants.
  • Provide expert, destination-specific guidance on local customs, cultural etiquette, safety precautions, and must-see points of interest to enhance the client's journey.
  • Proactively identify opportunities to upsell and cross-sell relevant travel products and services, such as premium cabin seats, travel insurance, and optional excursions.
  • Solicit and analyze client feedback post-travel to measure satisfaction, identify areas for service improvement, and strengthen long-term client relationships.
  • Ensure all travel arrangements are in strict compliance with client policies, corporate travel guidelines, and any applicable contractual or regulatory requirements.
  • Proactively monitor travel alerts, weather forecasts, and geopolitical situations to anticipate potential disruptions and devise contingency plans for affected itineraries.
  • Manage group travel logistics, including coordinating multiple travelers, negotiating group rates, and ensuring cohesive itinerary planning.
  • Conduct thorough quality checks on all travel documents, tickets, and vouchers before dispatching final travel packets to clients to guarantee accuracy.

Secondary Functions

  • Assist the marketing team by providing expert content and insights for travel blogs, destination guides, and social media campaigns.
  • Contribute to the internal knowledge base by developing and curating pre-designed travel packages and special promotional offers.
  • Participate in internal training sessions to share destination knowledge, supplier updates, and sales best practices with junior team members.
  • Support the finance department by assisting with the timely invoicing and reconciliation of client and supplier accounts.

Required Skills & Competencies

Hard Skills (Technical)

  • GDS Proficiency: Advanced command of at least one major Global Distribution System (Sabre, Amadeus, Galileo, Worldspan) for air, hotel, and car bookings.
  • CRM Software: Competency in using Customer Relationship Management (CRM) systems like Salesforce or Zoho for client data management and communication tracking.
  • Destination & Product Knowledge: Extensive geographical knowledge and deep expertise in a variety of international and domestic destinations, including their tourism products.
