Core Responsibilities
Primary Functions
- Assist producers and production coordinators with organizing all logistical aspects of a television shoot, from pre-production through to final wrap.
- Prepare and distribute essential production documents, including scripts, call sheets, schedules, and contact lists, ensuring all cast and crew are informed.
- Act as a primary communication liaison on set, relaying messages and instructions from the director and producers to various departments and talent.
- Manage the procurement, organization, and inventory of production supplies, props, and equipment, ensuring everything is available when needed.
- Coordinate travel arrangements, accommodations, and transportation for cast, crew, and high-profile guests.
- Facilitate the signing and collection of release forms, contracts, and other critical legal and administrative paperwork from talent and participants.
- Provide direct support on set, including managing crafty (craft services), making coffee runs, and ensuring the set remains clean and organized.
- Assist camera, lighting, and sound departments with the setup, breakdown, and movement of equipment as directed.
- Serve as a stand-in for actors or talent during lighting setups and camera rehearsals to maximize shooting efficiency.
- Manage and escort talent and guests on set, ensuring their needs are met and they are in the right place at the right time.
- Take detailed and accurate notes during production meetings, script readings, and on-set, distributing summaries to the relevant team members.
- Handle petty cash, track production-related expenses, and meticulously prepare expense reports for the production manager.
- Log and digitize footage, manage media files, and assist the post-production team with organizing assets for editors.
- Conduct preliminary research for show segments, locations, potential characters, and factual information as assigned by producers.
- Update and maintain production binders, schedules, and databases with the most current information.
- Perform general administrative duties for the production office, such as answering phones, scheduling meetings, and managing deliveries.
- "Locking up" a location during filming, which involves securing the set and preventing unauthorized personnel or public from interrupting a take.
- Run errands for various departments, including picking up props, wardrobe, or last-minute supplies essential for the shoot.
- Assist the script supervisor with continuity by taking photos or detailed notes on props, wardrobe, and set dressing.
- Support the art department with set dressing, prop placement, and general hands-on creative tasks.
