Core Responsibilities
Primary Functions
- Oversee the end-to-end uniform lifecycle by planning, forecasting, procuring, receiving, storing, issuing, repairing, and decommissioning uniforms and PPE across all company locations to ensure 100% availability of required sizes and styles.
- Manage daily operations of the uniform room/warehouse including assigning tasks, supervising staff schedules, enforcing safety and quality procedures, and providing coaching and performance feedback to achieve on-time distribution targets.

- Lead supplier and vendor management activities: prepare purchase orders, evaluate quotes, negotiate pricing, oversee production timelines, manage deliveries, and coordinate returns or warranty claims to maintain cost-effective and reliable supply chains.
- Design and execute seasonal and promotional uniform rollouts, coordinating sample approval, fit sessions, size allocations, phased distribution plans, and communications to field teams to guarantee smooth implementation and brand consistency.
- Develop and enforce uniform policies and standard operating procedures (SOPs) for issuance, replacement, laundering, alterations, damage assessment, and end-of-life disposal, ensuring compliance with brand guidelines and safety regulations.
- Oversee quality assurance and acceptance testing of incoming garments by checking fabric, stitching, labeling, sizing consistency and PPE compliance; document non-conformances and manage corrective actions with suppliers.
- Maintain and manage the budget for uniforms, laundry services and repairs; track spend, forecast needs, identify cost savings opportunities (bulk purchasing, alternative suppliers, reuse programs) and report variances to stakeholders.
- Coordinate professional laundering or contract laundry services (in-house or outsourced), set cleaning schedules, monitor service levels, audit detergent and hygiene standards, and ensure garments meet infection-control and occupational safety standards.
- Administer the alteration and repair program: assess repair requests, prioritize repairs by urgency, liaise with on-site tailors or external alteration vendors, track turnaround times and maintain repair quality logs.

- Administer digital systems and integrations for uniform fulfillment: manage SKU master data, maintain accurate product attributes, and work with IT to optimize order-to-distribution workflows and reporting capabilities.
- Respond to urgent uniform and PPE requests during staffing changes, new hires, incidents, or brand activations by coordinating emergency shipments, localized sourcing or inter-branch transfers to minimize operational disruption.
- Ensure compliance with regulatory and industry-specific PPE requirements (healthcare, manufacturing, food service) by tracking certifications, expiry dates, and mandatory replacement cycles.
- Lead continuous improvement initiatives: analyze fulfillment bottlenecks, redesign stockroom layouts, implement lean inventory practices (kanban, min/max levels), and pilot automation (RFID/scan-to-issue) to reduce lead time and labor costs.
- Train and develop staff on garment handling, issuing protocols, laundry acceptance criteria, safety procedures and customer service standards to consistently deliver a professional uniform experience to employees.
- Coordinate returns, reclaim and recycling programs for decommissioned uniforms to maximize reuse, manage disposal according to sustainability policies, and track write-offs for financial reconciliation.
- Manage cross-functional stakeholder relationships (HR onboarding, Facilities, Safety, Procurement, Store Managers) to align uniform policies with shift patterns, headcount changes and special events.
- Develop and maintain a master size and allocation schedule to automate recurring issuance for new hires, seasonal increases, or special projects and ensure equitable distribution across regions.
