Core Responsibilities

Primary Functions

  • Lead and supervise daily unit operations, ensuring that staffing levels, workflows, and resource allocation meet operational targets and service-level agreements while minimizing downtime and waste.
  • Create, justify, monitor and manage the unit budget, including labor, supplies, overtime, and capital requests, and report variances with recommended corrective actions to senior management.
  • Build and maintain shift schedules, approve time-off and overtime requests, and coordinate cross-coverage to ensure 24/7 operational continuity and compliance with labor rules and agreements.
  • Recruit, onboard, and orient new unit staff; develop individualized development plans and ensure all employees complete mandatory trainings and certifications on schedule.
  • Provide performance management, coaching, and formal feedback; lead performance appraisals, set measurable goals, and implement performance improvement plans where necessary.
  • Oversee quality assurance and compliance activities within the unit, including audits, incident reporting, corrective action plans, and maintenance of accreditation standards or regulatory requirements (e.g., HIPAA, OSHA).
  • Conduct daily briefings, handovers, and operational huddles to align staff on priorities, safety issues, patient/customer needs, and continuous improvement initiatives.
  • Coordinate clinical or technical escalations and complex problem resolution, acting as primary point of contact for multidisciplinary teams, external vendors, and stakeholders.
  • Develop and implement standard operating procedures (SOPs), policies, and checklists to standardize unit processes, reduce variability, and improve outcomes.
  • Monitor key performance indicators (KPIs) such as throughput, quality metrics, complaint rates, incident rates, and productivity; analyze trends and implement targeted interventions.
  • Manage inventory and supply chain activities for the unit, including forecasting usage, placing purchase requests, controlling stock levels, and minimizing expired or obsolete items.
  • Lead unit-level projects to introduce operational improvements, new equipment, or system changes; define project scope, timelines, stakeholders, and success metrics.
  • Ensure a safe working environment by enforcing health and safety protocols, performing risk assessments, and driving accident/near-miss investigations and root-cause analyses.
  • Maintain accurate documentation, operational logs, patient or client records, and regulatory files; ensure confidentiality and secure handling of sensitive information.
  • Facilitate collaboration with other units and departments to resolve bottlenecks, transfer resources, and deliver integrated services that meet organizational objectives.
  • Drive staff engagement, morale, and retention through recognition programs, team-building activities, and transparent communication about organizational changes and goals.
  • Implement and monitor infection control, environmental hygiene, and equipment maintenance schedules to protect staff and clients and preserve operational integrity.
  • Prepare and present regular reports to senior leadership on unit performance, staffing forecasts, budget status, and improvement plans with clear, data-driven recommendations.
  • Act as incident commander during unit-level emergencies (e.g., service interruptions, clinical emergencies, security events), coordinating response, communication, and post-event reviews.
  • Manage vendor relationships for services aligned to the unit (repairs, contract staffing, consumables), including contract compliance, performance monitoring, and cost control.
  • Champion continuous improvement methodologies (Lean, Six Sigma, PDCA) at the unit level; lead kaizen events, root-cause problem solving, and standard work adoption.
  • Ensure equitable and compliant application of HR policies, handle employee relations issues, investigations, and disciplinary steps in line with company policies and labor laws.
  • Promote a culture of client/patient-centered service and professionalism, ensuring responsiveness to customer needs, timely resolution of complaints, and measurable improvements in satisfaction.
  • Maintain situational awareness of operational risks and proactively develop contingency plans for staffing shortages, supply disruptions, or surge conditions.
