Core Responsibilities
Primary Functions
- Own end-to-end upload and ingestion processes for product content and digital assets (images, video, documents), including scheduling, batch processing, verification, publication, and rollback procedures to meet business and e‑commerce launch deadlines.
- Coordinate and execute large-scale product catalog uploads into CMS/PIM/DAM systems using CSV/XML/JSON feeds, bulk APIs and SFTP/FTP transfers while enforcing strict data validation and integrity checks.
- Build, maintain and enforce metadata standards, taxonomies and controlled vocabularies; audit metadata completeness and accuracy to ensure products and assets are discoverable and optimized for search (SEO) and internal search relevance.
- Perform quality assurance (QA) on uploaded content and assets: verify image sizes, aspect ratios, color profiles, video codecs, file naming conventions, alt text, titles, descriptions and SKU mappings to ensure consistency and accessibility compliance (WCAG) across channels.
- Design, document and continually refine Standard Operating Procedures (SOPs), upload checklists, naming conventions and runbooks for upload teams, external vendors and stakeholders to create repeatable, auditable workflows.
- Troubleshoot and resolve ingestion failures, file corruption, API errors and data mapping issues; coordinate with engineering and vendor support to diagnose root causes and implement preventative fixes.
- Manage and prioritize the upload queue to align with promotions, product launches and seasonal activity; proactively reallocate resources to hit SLAs and mitigate content bottlenecks.
- Drive automation opportunities for repetitive upload tasks using scripts, ETL tools, scheduled jobs, and integration platforms; collaborate with engineering to move manual steps to automated pipelines.
- Manage vendor relationships, briefs and onboarding for outsourced content and asset ingestion, ensuring contractual SLAs, quality metrics, and training are in place and tracked.
- Implement version control and rollback strategies for content and assets; maintain archive and retention policies and ensure proper labeling of staging vs production assets.
- Validate product-to-category taxonomies and ensure correct routing to front-end channels (web, mobile, marketplaces) and third-party syndication partners.
- Collaborate with SEO, merchandising and product teams to optimize upload templates for search visibility, conversion metrics and merchandising rules (facets, sorting, and promotional flags).
- Create, deliver and maintain dashboards and regular reports (KPI: upload throughput, error rate, SLA compliance, cycle time, time-to-live) to leadership and business partners for transparency and continuous improvement.
- Lead cross-functional intake for ad-hoc and recurring upload requests; translate business requirements into mapping specifications and acceptance criteria for the upload team or automated workflows.
- Ensure secure file transfer and storage practices (SFTP, FTPS, AWS S3 policies, access controls) and compliance with company security policies and data protection regulations.
- Oversee image and video processing workflows including transcoding, resizing, watermarking, and preview generation; coordinate with creative and dev teams to validate assets post-processing.
- Maintain content staging environments and coordinate content freezes, cutover plans and rollouts for major product launches or site migrations.
- Train, mentor and manage upload specialists and contractors; perform capacity planning and resource forecasting based on calendar events and product roadmaps.
- Drive periodic data quality audits and remediation programs to reduce long-term manual cleanup and improve catalog health metrics (missing attributes, duplicate SKUs, mismatched images).
- Manage ticket queues in JIRA/ServiceNow and communicate status, escalations and resolutions to stakeholders; implement continuous improvement based on incident post-mortems.
- Participate in platform migrations, PIM/DAM implementations, and system integrations as the subject matter expert for content ingestion and asset workflows.
Secondary Functions
- Support ad-hoc data requests and exploratory data analysis for merchandising, analytics and operations teams to enable data-driven content decisions.
- Contribute to the organization's content strategy and roadmap by identifying gaps, automation opportunities and tooling investments to scale uploads for growth.

Required Skills & Competencies
Hard Skills (Technical)
- Deep experience with CMS, PIM and DAM platforms (examples: Shopify, Magento, BigCommerce, Akeneo, Salsify, WordPress, Bynder, Widen).
- Proficiency with bulk upload methods: CSV/XML/JSON feed creation, API-based ingestion, FTP/SFTP transfers and automated jobs.
- Strong understanding of metadata schemas, taxonomies, controlled vocabularies, and data modeling for product catalogs and digital assets.
- Hands-on familiarity with data transformation and ETL tools (e.g., Talend, Informatica, Pentaho, Python scripts, SQL-based transformations).
- Experience with AWS storage (S3), cloud file systems, and secure file transfer protocols.
