Core Responsibilities
Primary Functions
- Receive, validate and prepare incoming digital files and product data batches (images, videos, XML/JSON, CSV, spreadsheets, PDFs) for upload into CMS, DAM or e‑commerce platforms, ensuring file formats, resolutions, and codecs meet channel and brand specifications.
- Execute scheduled and ad‑hoc bulk uploads using FTP/SFTP, managed file transfer tools, APIs, or platform import utilities while following established naming conventions, folder structures, and version control practices to prevent duplication and ensure traceability.
- Apply and standardize metadata, taxonomy tags, alt text, SKU mapping and descriptive attributes to uploaded assets, ensuring searchability, discoverability and compliance with SEO best practices across product catalogs and digital libraries.
- Perform systematic quality assurance checks post‑upload (visual spot checks, checksum validation, metadata audits, broken link testing) to verify file integrity, accurate rendering, and correct product associations; document and correct inconsistencies.
- Monitor upload queues, scheduled jobs and automated pipelines; triage failed jobs, investigate root causes (network issues, file corruption, incorrect schema) and perform re‑runs or manual corrections following SOPs and change control.
- Coordinate with cross‑functional teams — product managers, marketing, design, supply chain and IT — to validate content requirements, resolve content discrepancies, and prioritize urgent uploads tied to launches, promotions or regulatory deadlines.
- Prepare and maintain detailed upload logs, runbooks and incident reports that capture file provenance, upload timestamps, user actions and remediation steps to ensure auditability and SLA compliance.
- Implement and maintain file naming, metadata and folder structure standards; conduct periodic audits to enforce data hygiene and maintain consistency across multiple platforms and marketplaces.
- Convert, resize or transcode media assets (images, videos) to required specifications using tools such as Adobe Photoshop, ImageMagick, FFmpeg or platform-specific processors; optimize assets for web performance without compromising quality.
- Use spreadsheet tools (Excel, Google Sheets) and text editors to cleanse, normalize and validate CSV/TSV imports; manipulate data (VLOOKUP, formulas, macros) to align with import templates and prevent upload errors.
- Execute API‑based uploads and integrations where available: prepare payloads, test endpoints, handle authentication tokens, and log responses; collaborate with developers to automate recurring workflows or resolve API exceptions.
- Maintain backups and rollback plans for bulk imports and critical content changes, ensuring rapid recovery and minimal disruption to public facing catalogs and content repositories when uploads cause regressions.
- Follow data protection and privacy protocols when handling sensitive content or PII embedded in files or metadata; ensure secure transfer channels (SFTP, encrypted storage) and apply role‑based access controls.
- Triage and escalate technical issues to engineering or platform vendors with well-documented reproduction steps, error logs and sample files to accelerate incident resolution and minimize downstream impact.
- Maintain and update SOPs, playbooks and training materials for upload processes; onboard and mentor new operators, ensuring consistent practices and knowledge transfer across shifts.
- Track and report operational KPIs such as upload throughput, error rates, average time-to-fix failed uploads, and compliance metrics to management; recommend process improvements and automation opportunities based on trends.
- Participate in release cycles and content freeze planning to coordinate safe windows for large imports, product launches, or catalog refreshes that require cross-team collaboration and change control approvals.
- Validate data mapping and schema alignment before import (SKU fields, pricing, availability, category mapping) and proactively correct mapping mismatches to prevent catalog inconsistencies on marketplaces and storefronts.
- Implement basic automation and scripting (Python, Bash, scheduled jobs) to reduce manual repetitive tasks, manage file transformations, and streamline recurring batch uploads, while documenting scripts and maintaining version control.
- Ensure cross‑platform consistency for product information and media assets by reconciling records across CMS/DAM, PIM, ERP and marketplace endpoints; run reconciliation jobs and correct mismatches to maintain a single source of truth.
- Maintain vendor and partner upload pipelines, including onboarding requirements for suppliers, file format checklists, and sample validations to ensure third‑party content meets in‑house standards prior to ingestion.
Secondary Functions
- Support ad-hoc data requests and exploratory data analysis related to upload performance, content gaps and platform health metrics to inform prioritization and remediation efforts.
- Contribute to the organization's data strategy and roadmap by identifying opportunities to improve metadata quality, implement taxonomy governance, and reduce manual workload through integration and automation.
- Collaborate with business units to translate data needs into engineering requirements; participate in requirements definition and user acceptance testing for upload tools and platform enhancements.
- Participate in sprint planning and agile ceremonies within the data engineering or content operations team to prioritize upload work, bug fixes and feature requests that improve throughput and reliability.
- Provide first‑line training and L1 support to internal stakeholders on how to submit upload-ready files, complete metadata templates, and use self-service ingestion portals.
- Conduct periodic process reviews and root cause analysis of recurring upload failures and implement corrective actions (format validation rules, pre-flight checks, vendor training) to reduce error rates and accelerate time-to-live.
