Entry Point From:
- Data Entry Specialist with experience in bulk imports and CSV manipulation
- E‑commerce Content Coordinator handling SKUs and image uploads
- Junior Content or Asset Coordinator supporting CMS/DAM operations
Advancement To:
- Senior Upload Specialist / Lead Upload Specialist
- Data Quality Analyst or Data Integrity Manager
- PIM/DAM Administrator or E‑commerce Operations Manager
- Content Operations Manager or Digital Asset Manager
Lateral Moves:
- Product Data Analyst
- Technical Support Engineer for content platforms
- ETL/Automation Specialist supporting ingestion pipelines
Core Responsibilities
Primary Functions
- Manage end‑to‑end upload workflows for product catalogs, digital assets, and content feeds, including preparing CSV/Excel files, mapping fields, validating file formats (CSV, XLSX, JSON, XML), and executing bulk imports into CMS, PIM, DAM, or e‑commerce platforms.
- Execute scheduled and ad‑hoc FTP/SFTP transfers and monitor automated ingestion jobs to ensure timely delivery of content to multi‑channel endpoints, troubleshooting connectivity and permission issues when transfers fail.
- Configure and call APIs (REST/GraphQL) or use middleware tools to programmatically push and pull content, including JSON/XML payload validation, authentication token management, and error log analysis.
- Perform thorough quality assurance and validation on uploaded content — checking metadata accuracy, image/video resolution and aspect ratios, SKU matching, pricing fields, categorization, and locale‑specific attributes to reduce customer impact and returns.
- Normalize and enrich metadata to improve searchability and SEO across channels, including applying standardized naming conventions, taxonomy tagging, alt text for images, and content descriptions optimized for discoverability.
- Maintain and update standardized ingestion templates and mapping spreadsheets that align source data fields to target system schemas, ensuring repeatability and minimizing manual corrections.
- Investigate and remediate upload failures and data integrity issues by analyzing error logs, reconciling source-to-target records, and applying corrective uploads; document root causes and preventive actions.
- Coordinate with product managers, merchandising, creative, and IT teams to clarify upload requirements, obtain missing assets or fields, and prioritize ingestion pipelines based on business needs and channel calendar (launches, promotions, seasonal events).
- Create and maintain detailed SOPs, runbooks, and checklists for upload processes, version control procedures for content, and escalation paths for critical incidents to support continuity and audits.
- Support migration projects and large bulk onboarding events by planning staging, testing uploads in non‑production environments, validating sample sets, and executing cutover uploads with rollback contingencies.
- Maintain audit trails and logs for all uploads (who/when/what), ensuring traceability for compliance (GDPR, CCPA) and financial reconciliation where applicable.
- Optimize upload efficiency by identifying repetitive manual tasks and recommending automation opportunities (scripts, macros, ETL jobs, RPA), then partnering with data engineering to implement and test those improvements.
- Validate and process multimedia assets for platform constraints — resizing, format conversion, compression, and ensuring correct aspect ratios for web and mobile channels while preserving brand guidelines.
- Apply data governance and quality standards to identify duplicate records, inconsistent SKUs, missing mandatory fields, and implement de‑duplication or cleansing procedures prior to ingestion.
- Manage staging and production content environments, including performing test uploads, coordinating UAT with stakeholders, and ensuring rollback capability in case of content related incidents.
- Liaise with third‑party vendors (photographers, agencies, suppliers, marketplaces) to receive, validate, and ingest supplier files within SLAs, clarifying file naming, metadata expectations, and delivery channels.
- Monitor KPIs related to upload health (success rate, error rate, average time to publish, number of revisions), generate regular reports for stakeholders, and propose data quality improvement initiatives.
- Ensure secure handling of sensitive files and PII by following company security policies, encrypting transfers where required, and controlling access to upload credentials and storage systems.
- Provide tier‑2 support for content ingestion issues, including reproducing issues, collecting logs/screenshots, and escalating to engineering with clear reproduction steps and priority assessment.
- Train and onboard new team members and cross‑functional contributors on upload procedures, templates, and tools to ensure consistent execution across the organization.
- Maintain and update integrations documentation, mapping dependencies between source systems (ERP, PIM, suppliers) and target platforms, and contribute to technical specs for new ingestion features.
Secondary Functions
- Support ad-hoc data requests and exploratory data analysis.
- Contribute to the organization's data strategy and roadmap.
- Collaborate with business units to translate data needs into engineering requirements.
- Participate in sprint planning and agile ceremonies within the data engineering team.
