Core Responsibilities
Primary Functions
- Perform patient triage, obtain focused urologic history and review current medications and allergies, and document findings accurately in the electronic medical record (EMR) prior to physician consultation.
- Prepare patients for office-based procedures such as cystoscopy, urethral catheterization, bladder instillation and minor cutaneous procedures by explaining the procedure, obtaining consent documentation and ensuring appropriate pre-procedure instructions are followed.
- Assist the urologist during diagnostic and therapeutic procedures (cystoscopy, stent placement, laser lithotripsy in ambulatory settings) by maintaining a sterile field, passing instruments, manipulating scopes, suctioning and recording intra-procedural data.
- Perform sterile and non-sterile catheter insertions (Foley, intermittent, suprapubic catheter care), including technique for difficult catheterizations, proper securing, documentation of urine characteristics and troubleshooting drainage issues.
- Conduct urodynamic testing and uroflowmetry setup, operate urodynamics equipment, record test parameters, troubleshoot artifacts and prepare preliminary reports for physician review.
- Collect and process specimens (urine cultures, urine cytology, stone analysis, pathology specimens), label and transport according to laboratory and chain-of-custody protocols, and coordinate with central lab or outside reference labs.
- Provide comprehensive pre- and post-procedure patient education on bowel prep, medication adjustments (anticoagulants), catheter care, signs/symptoms that require urgent attention and discharge instructions to reduce readmissions and complications.
- Administer medications and local anesthetics per clinic protocol or under physician order, prepare IV lines for contrast or sedation when required, and monitor patient vital signs and level of consciousness during and after procedures.
- Triage incoming patient calls and portal messages related to urologic concerns, provide guideline-based advice, escalate urgent issues to the provider, and coordinate same-day or expedited appointments as necessary.
- Maintain inventory and ordering of urology-specific supplies (catheters, stents, endoscopy disposables, sterile trays, specimen containers), track lot numbers and coordinate with supply chain to avoid procedure delays.
- Prepare exam and procedure rooms, ensure all equipment (endoscopes, light sources, insufflators, urodynamic consoles) is calibrated and functioning, and document equipment maintenance or service needs.
- Perform wound care, drain management and suture/staple removal for post-operative urology patients, recognizing complications (infection, dehiscence) and initiating appropriate escalation.
- Support operative scheduling by confirming pre-op testing, coordinating with anesthesia and OR staff, verifying insurance pre-authorizations for procedures and ensuring accurate documentation of surgical consents.
- Assist with male and female pelvic exams and perform basic office gynecologic maneuvers when pertinent to urologic diagnoses (e.g., pelvic floor assessment), under physician supervision.
- Provide catheter change services in clinic or for admitted patients, including exchange of ureteral stents or indwelling catheters when within scope and per facility protocols.
- Accurately enter procedure notes, diagnosis codes, and charge capture data into the EMR to support clinical documentation integrity and facilitate billing and coding workflows.
- Participate in quality improvement initiatives, infection control audits and root cause analyses related to urology clinic operations and procedure outcomes.
- Support pre-procedure COVID/respiratory screening and implement standard and transmission-based precautions, ensuring compliance with OSHA and facility infection prevention policies.
- Collaborate with scheduling, front desk and billing teams to optimize clinic templates, minimize no-shows, and improve patient access to urologic care.
- Provide culturally sensitive counseling on common urologic conditions (BPH, urinary incontinence, urinary tract infections, kidney stones, erectile dysfunction) and referrals to physical therapy, sexual health services or social work as needed.
- Assist in minor in-office surgical procedures such as hydrocele aspiration, cyst puncture for cytology, removal of superficial lesions, and local lesion biopsies following standardized protocols.
- Monitor and document post-anesthesia recovery for patients undergoing conscious sedation, including airway assessment, pain control, and stable discharge criteria.
- Educate patients and caregivers on intermittent self-catheterization technique, stent care, and signs of urosepsis; provide written resources and demonstrate proficiency before discharge.
- Coordinate diagnostic imaging orders (renal/bladder ultrasound, CT urogram, nuclear renal scans) and follow up on results to ensure timely communication to the treating provider.
Secondary Functions
- Participate in departmental training, mentorship and cross-training of new Urology Assistants, MAs and surgical technicians to maintain consistent clinical standards.
- Support telehealth workflows by preparing patients for virtual visits, ensuring imaging and lab results are available, and documenting telemedicine encounters per institutional guidelines.

Required Skills & Competencies
Hard Skills (Technical)

- Experience assisting with cystoscopy, ureteroscopy, and other endoscopic urology procedures, including sterile field maintenance and scope handling.
- Competent performing and troubleshooting urodynamic studies and uroflowmetry with ability to capture accurate study parameters.
- Skilled in specimen collection and handling for urine cultures, cytology and biopsy specimens with knowledge of chain-of-custody and lab requisition workflows.

Educational Background
Minimum Education:
- High school diploma or equivalent plus completion of an accredited Medical Assistant, Surgical Technician, or CNA program; or LPN with relevant urology/ambulatory experience.
Preferred Education:
- Associate Degree in Health Sciences, Nursing, or related field; or certification in medical assisting (CCMA), surgical technology (CST), or nursing (LPN/RN) with urology specialty experience.
