Core Responsibilities

Primary Functions

  • Warmly greet and welcome patients upon arrival at the vaccination site, setting a positive and reassuring tone for their visit.
  • Manage the patient intake process by accurately registering individuals, verifying personal identification, and confirming appointment details.
  • Diligently collect and verify patient demographic and insurance information, ensuring all data is entered correctly into the clinic's management system or EMR.

  • Monitor patients in the designated observation area following their immunization, watching for any signs of immediate adverse reactions as per clinical protocol.
  • Immediately alert licensed clinical staff (nurses, pharmacists) of any patient emergencies, distress, or observed adverse reactions for prompt medical intervention.
  • Meticulously document administered vaccinations in the Electronic Health Record (EHR) system or state immunization registry in real-time.
  • Accurately prepare and provide patients with official vaccination record cards, ensuring all details of the dose administered are correctly transcribed.
  • Maintain a clean, safe, and organized environment by regularly sanitizing patient waiting areas, check-in desks, and observation chairs.
  • Manage the inventory of both clinical and administrative supplies, conducting regular counts and reporting restocking needs to the clinic supervisor.
  • Uphold strict patient confidentiality and privacy at all times, adhering to all HIPAA regulations and organizational policies.
  • Assist patients with scheduling second-dose appointments or follow-up visits as required by the specific vaccine protocol.
  • Provide clear, non-clinical instructions and pre-approved educational materials to patients regarding post-vaccination care and potential side effects.
